Job Description
Parsons is looking for an amazingly talented Senior Admin Assistant (Saudi National) to join our team!
What You’ll Be Doing
Office Administration and Support:
- Provide comprehensive administrative support to project managers, engineers, and other team members.
- Manage incoming and outgoing correspondence, including email, courier, and hardcopy files.
- Maintain office supplies, equipment, and inventories to ensure efficient operations.
- Organize, maintain, and update electronic and physical filing systems for project-related documents.
- Assist with the preparation, formatting, and archiving of reports, memos, and letters.
- Ensure confidentiality and proper version control of sensitive project documentation.
- Schedule meetings, prepare agendas, and take minutes during departmental and project coordination meetings.
- Coordinate with internal and external stakeholders for meeting arrangements, site visits, and logistics.
- Track and follow up on assigned action items and deliverables.
- Enter and update project data, personnel logs, timesheets, or attendance sheets as required.
- Generate simple reports and summaries as requested by project or admin leadership.
- Maintain databases, contact lists, and document logs.
- Serve as a point of contact for administrative queries between departments or subcontractors.
- Distribute circulars, safety bulletins, and memos to ensure communication flow across site offices.
- Assist with onboarding processes for new team members, including documentation and ID issuance.
- Ensure administrative activities comply with company procedures and project standards.
- Support audits and inspections by providing requested documentation and records.
- Track and manage document expiry dates (e.g., permits, licenses, IDs).
- Education: Diploma or Bachelor’s degree in Business Administration, Office Management, or a related field.
- Experience:
- 2 years of administrative experience in construction, engineering, or infrastructure projects.
- Familiarity with working in a fast-paced project or site environment.
- Skills & Knowledge:
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Strong organizational, time management, and multitasking abilities.
- Good communication and interpersonal skills.
- High attention to detail and accuracy in data entry and document handling.
- Ability to handle confidential information with professionalism.
- Experience with document control systems or project management platforms (e.g., Aconex, Procore, or SharePoint).
- Knowledge of construction site protocols or airport project environments.
- Basic understanding of project terminology and workflow.
- Ability to work flexible hours or shifts, if needed.
- Fluency in English and additional languages is a plus.
