Business Need / Purpose of Role
Job Title: Port Operations Executive
Department: Marine Services
Location: Jeddah, KSA
Reporting to: Operations Manager – Marine Services
We are looking for a diligent and service-oriented Port Operations Executive to deliver high-quality ship husbandry services to vessels calling at KSA sea ports under ISS agency. The Boarding Executive will be responsible for handling all required documentation, maintaining active communication with Principals and service providers, and working closely with the Operations
Executives to ensure excellence in service delivery and compliance with operational standards.
This role requires a high level of professionalism, strong organizational skills, and the ability to effectively coordinate between multiple stakeholders, including Port Authorities, Customs, Immigration, and internal teams. The position also plays a supporting role in back-office processes and ship chandelling operations, ensuring efficiency and full regulatory compliance.
Key Responsibilities:
Operational Responsibilities
- Provide full husbandry services during port calls including inward/outward clearance, crew changes, and supply coordination.
- Board vessels to collect/distribute documentation and resolve any operational issues swiftly to support vessel turnaround efficiency.
- Ensure all documentation is completed and submitted in accordance with KSA Port Authority and government regulations.
- Liaise with local port and government authorities to facilitate smooth operations with minimal delays.
- Maintain up-to-date knowledge of port procedures, tariffs, and regulations.
- Support the execution of ship chandelling services when required, ensuring accuracy and timely delivery of goods/services.
Customer Service Excellence
- Ensure customer satisfaction by delivering professional and prompt service to ship owners, managers, and operators.
- Maintain open communication with Principals throughout the port call, updating them with accurate and timely information.
- Proactively address and resolve any customer complaints or issues, escalating to management when needed.
Quality & Compliance
- Ensure compliance with Quality Management Systems (QMS) and company Standard Operating Procedures (SOPs).
- Follow safety, environmental, and security guidelines as per ISS and port authority standards.
- Adhere to ISS Code of Conduct, dress code, and safety policies including driving regulations.
Administrative & Liaison Duties
- Assist with submission, collection, and follow-up of documents and approvals from external stakeholders.
- Support internal teams and back-office functions with timely updates and required documentation.
- Contribute to continuous process improvements and operational efficiencies within the department.
Knowledge, Skills, And Abilities
- Competent user of the Microsoft Office suite including Outlook, Excel, and Word.
- Being able to communicate verbally/writing in a clear and concise manner.
- Balance multiple tasks, changing priorities & operate within a deadline-oriented environment.
- Good interpersonal relationship in managing people/sub-ordinates, planning, organizing.
- Excellent attention to minute details.
- Self-driven, organized, good communication skills.

- Having a global perspective and possess a progressive thinking skill.
Education, Qualifications, Certifications, And Licenses
- Minimum diploma or certification in Shipping, Maritime Studies, Logistics, or related field with appropriate exposure to terminal personnel, shipper and receivers, vendors, and government agencies in Saudi Arabia.
- At least 2–3 years of experience in ship agency operations, preferably in a boarding or husbandry role.
- Strong knowledge of port operations and marine services in the KSA region.
- Excellent communication and interpersonal skills in English (Arabic is a plus).
- Proficient in Microsoft Office and familiar with marine agency systems.
- Valid driver’s license and willingness to travel within port areas as needed.
- Flexible, self-motivated, and able to work under pressure with minimal supervision.
