Main Purpose Of The Job

To prepare accurate and detailed cost estimates for event-related projects, ensuring competitive pricing, proper documentation, and alignment with technical and operational requirements. The Cost Estimator plays a key role in supporting pricing strategies, budgeting, and profitability analysis in fast-paced event environments.

Duties And Responsibilities

  • Project Estimation & Pricing:
  • Study project briefs, scope documents, and technical requirements to identify all cost components.
  • Break down project needs detailed Bill of Quantities (BoQs) and estimate each component accurately.
  • Prepare cost sheets and pricing models for both internal use and client-facing proposals.
  • Account for logistics, regional variations, and operational complexity when estimating.
  • Adjust estimates reflect market trends, seasonal demand, and last-minute changes.
  • Vendor Coordination & Quotations:
  • Source and obtain multiple competitive quotations per category (at least 2–3 per item).
  • Ensure pricing reflects the specific region of execution (e.g., Riyadh, Jeddah, Dammam, Abha).
  • Work closely with the procurement team to validate vendor prices and ensure feasibility.
  • Maintain a reliable vendor map categorized by service, geography, and availability.
  • Value Engineering & Optimization:
  • Suggest cost-effective alternatives and technical adjustments to meet budget constraints.
  • Identify unnecessary or overlapping items and recommend removal or consolidation.
  • Propose scalable options for modular event setups to reduce cost impact.
  • Database & Documentation Management:
  • Maintain and regularly update a centralized cost database for standard items and services.
  • Archive all estimates, quotes, and revisions systematically for traceability.
  • Ensure proper naming, version control, and alignment with project codes.
  • Support procurement in documenting approved rates and conditions from suppliers.
  • Collaboration & Internal Coordination:
  • Coordinate closely with project managers, operations teams, and designers to align estimates with real execution.
  • Attend internal briefings and technical walkthroughs to fully understand project context.
  • Provide estimation support during client negotiations or budget reviews.
  • Participate in cost review meetings with the procurement and finance teams.
  • Post-Event Analysis & Continuous Improvement:
  • Compare estimated vs. actual costs after project completion and identify variances.
  • Analyze reasons for over- or under-budget execution and recommend corrections for future.
  • Refine estimation practices based on past project data and lessons learned.

Qualifications

  • Bachelor’s degree in engineering, Business, Supply Chain, or related field.
  • 3 – 4 years of experience in cost estimation, ideally within events, exhibitions.
  • Proficiency in Microsoft Excel and cost modeling tools.
  • Familiarity with ERP or project management software (e.g., Odoo, SAP, or equivalent).
  • Strong attention to detail, analytical thinking, and documentation accuracy.
  • Ability to handle pressure and meet tight proposal deadlines.
