Job Outline: Site Director (Riyadh Freelance)
The Site Director is responsible for the logistics of all elements of site, including operations planning and implementation, managing key supplier relationships and team members and maintaining consistent communication and reporting at the “Venue” from initial confirmation through execution. The Site Director will be responsible for communicating project status, coordinating schedules, crew/staff calls, and tracking client deliverables. This role will be a long term placement at a venue in Riyadh, Saudi Arabia and support the site year-round, working on Event specific projects as they are booked at the Venue. The role will report to the Venue Manager on a daily basis; shifting to support Event specific leadership teams during shows for pre-production, on site and derig phases. On site role located in Riyadh.
Areas Of Focus Include (not Exhaustive List)
Site Operations & Planning: Oversee temporary builds, construction projects, site infrastructure and civil works plans in ways such as finding efficiencies, strategizing with partners, ensuring milestones are being met, continued communication around goals, budget efficiencies and so on Source and identify vendors and staff roles to successfully complete all tasks, work through the procurement and contracting steps for said positions, continued oversight of these roles while onsite and through execution Be responsible for contractor execution output, including accuracy and quality and managing subcontractors directly day to day Utility Management: Planning for power, lighting, IT, water, wastewater, and waste management needs across site and working with suppliers to deliver and troubleshoot. Ultimately own the operations and logistics of the permanent (and temporary for Events) infrastructure at the Venue Establish and communicate clear schedule of uplifts of each of the above during various Event build and break phases. Strategize and implement sustainable practices Ensure proper and efficient receipt and handover of venue utilities Manage all related suppliers and maintenance requests Site & Space Planning Site Layout: work with Venue and Event teams on creation and execution of Site Plan, including: mapping, surveying, and mark out, line painting, barrier placements, cabling and cable ramp locations, structure installation and demobilization Work with Signage teams to ensure wayfinding, logistical and operational messaging is communicated, translated and placed in relevant places including gate and structural labelling Work with Health & Safety Teams to create and implement Emergency Action Plans and appropriate sitewide rules and regulations. - Site Base construction (non creative), such as: rental cabins/containers, capital expense/permanent build items, hardware, tools, placement of fencing, bike racks, barricades, interior walls, layouts/jersey barrier placement, lighting, line painting, mapping & mark out, misc site builds and construction, tenting and surveying, power/water/waste and IT infrastructure.
- Parking Lot & Offsite construction (non creative), such as: cable trenching, cabins, fencing/bike rack/barricades, lighting, generators, tenting, permanent infrastructure.
- Site Base Operations, such as: cable ramps, cable trenching, cleaning, cranes, fuel, golf carts, gators, trucks, motor pool, heavy equipment/production equipment, keys/locks, local labor, plant, power and generators, restrooms/water stations/water management, signage install support for BOH/FOH, site ops team, skips, street sweeper, truck marshalling.
- Parking Lot & Off Site Operations: cleaning, power and generators, restrooms/water stations/water management, signage install support (BOH/BOH), site ops team, skips, street sweeper
- Oversight and management of the Venue as an evergreen site including all maintenance, setup and uplift of Site Operation services and infrastructure for booked events at the Venue.
- Develop and maintain overall strategy and operations plan, implementing those strategies into real-world applications including site plan adjustments, RFPs, supplier negotiations and contracting, logistics and operations of site, budget management, etc
- Follow procurement process as prescribed for Venue and/or specific processes for Events
- Predict and manage all related suppliers’ maintenance requests within budget allocation
- Staffing, Team Management & Contractors
- Responsible for assisting in the staffing of Site Operations department’s executional & Event related roles including oversight of contractors and supplier teams
- Identify suppliers/contractor and staff roles to successful complete scopes and tasks
- Ensure health & safety standards are met
- Assist with the development of reports and presentations in timely and regular intervals to highlight achievements and in progress action on projects including administrative reports for client presentations
- Assist with the creation of the After-Actions post event report (for event specific rentals), including qualitative feedback and data/metrics developed throughout the execution of the event.
- Assist with the collection of a post event evaluation survey from all contractors to assess the success of the event and identify areas for improvement in future events (for event specific rentals).
- Participate in regular department meetings (Video Conference, Call, in-person, as appropriate) to receive updates, communication, and workshop ideas.
- Firm understanding of construction terminology and ability to communicate with contractors and engineers; however possess the ability to distill information into pedestrian language.
- As time permits, assist in pre-production of event specific rentals, as required and as the project develops.
- Have excellent interpersonal & communication skills, both verbal & written
- Bachelor's degree and/or a minimum of 10+ years of international live event, entertainment, live theater, touring concert, site or venue management, and/or production experience at the managerial level.
- Past experience in the GCC area required, especially KSA, Dubai, Qatar, etc.
- Computer skills:
- Macintosh OS or Window platform using Microsoft Office, especially Outlook, Excel, and Powerpoint.
- Auto-CAD and/or Vectorworks experience to interpret site plans, drawings and infrastructure layouts
- Experience using AirTable, Smartsheet, or similar database and tracking software
- Strong knowledge of international event industry and core event production elements, terms, and process
- Able to join Zoom meetings outside of 9am-6pm hours if needed (team members span global locations)
- Ability to evaluate approaches and discover efficiencies
- Strategize, meet and devise plans with executives and core team members
- Formulate strategy and direction
