Needs to activate Client program management in collaboration with the Strategy Management office and to carry out program management role through end to end program management support that will ensure formal confirmation of program creation, delivery and execution of respective projects, and ensuring successful closure of all program components.

Deliver Client Programs At All Phases

  • Program Definition and Planning: Establish clear objectives, scope, and timelines.
  • Program Delivery and Monitoring: Ensure continuous oversight and adjustments as needed.
  • Program Closure: Confirm all deliverables are met and formally close the program.

Provide

  • Adherence to Client Project Management Methodology: Follow established processes and standards.
  • Management of EPMO Reporting and Performance Dashboard: Keep track of project progress and performance metrics.
  • Support for Client Project Management System (PMS): Assist users with the dashboard and EPM tools.
  • Conduct Awareness Sessions and Manage Change Resistance: Educate stakeholders and address any resistance to changes.
  • Quality Assurance of Deliverables and Stage Gate Review: Ensure all project outputs meet quality standards.

Capability Support Services

  • Support for New Project Managers: Help new staff integrate and understand their roles.
  • Assistance for Client Business Owners: Provide guidance and support to business owners.
  • Support for Other Stakeholders and Staff: Offer help as needed to ensure everyone is aligned and informed.

Mandatory Skills/Experience Required

Development of Bylaws:

  • Draft Initial Bylaws: Outline the fundamental rules governing the organization, including the purpose, membership, board structure, and meeting protocols.
  • Review and Revise: Ensure the bylaws comply with local laws and regulations. Seek legal advice if necessary.
  • Approval by Board: Present the bylaws to the Board of Advisors (BoA) or Board of Directors (BoD) for approval.
  • Formal Adoption: Officially adopt the bylaws through a board resolution.

Entity Registration (e.g., Ministry Of Commerce, Etc.)

  • Choose Legal Structure: Decide on the type of entity (e.g., LLC, corporation) based on your business needs and goals.
  • Prepare Required Documents: Gather all necessary documents, such as the articles of incorporation, bylaws, and identification for board members.
  • Submit Registration Application: File the application with the relevant government authority, such as the Ministry of Commerce (MC).
  • Obtain Necessary Licenses and Permits: Ensure you have all the required licenses and permits to operate legally.
  • Register for Taxes: Complete any necessary tax registrations, such as obtaining a tax identification number.

Assets & Financial Management

Financial Structure Set Up:

  • Define Financial Goals and Objectives: Establish clear financial targets and objectives aligned with the organization's strategic goals.
  • Develop Financial Policies and Procedures: Create guidelines for budgeting, accounting, and financial reporting.
  • Set Up Financial Systems: Implement accounting software and financial management systems to track and manage finances.
  • Establish Funding Sources: Identify and secure funding sources, such as investments, loans, or grants.

Operational Finance Activation

  • Budget Development: Create detailed budgets for all departments and projects.
  • Cash Flow Management: Implement processes to monitor and manage cash flow to ensure liquidity.
  • Financial Reporting: Set up regular financial reporting to track performance against budgets and financial goals.
  • Compliance and Audits: Ensure compliance with financial regulations and conduct regular audits to maintain financial integrity.

Asset Management

  • Inventory of Assets: Create a comprehensive inventory of all physical and intangible assets.
  • Valuation of Assets: Determine the value of assets for accounting and reporting purposes.
  • Maintenance and Upkeep: Develop a schedule for regular maintenance and upkeep of physical assets.
  • Asset Disposal: Establish procedures for the disposal or sale of assets that are no longer needed or have reached the end of their useful life.
