Job Purpose

Responsible for overseeing the planning, coordination, and execution of SOPC-hosted events, ensuring alignment with strategic goals and maintaining high-quality standards. The role provides expert support to Local Organizing Committees (LOCs), manages vendor and partner relationships, and tracks event progress against KPIs. The position focuses on continuous improvement, ensuring SOPC’s events are delivered seamlessly and enhance the organization’s global reputation.

Event Planning and Program Development

  • Develop comprehensive event programs and agendas for SOPC-hosted conferences, exhibitions, and international forums that align with SOPC’s strategic objectives.
  • Identify event objectives and target audiences, tailoring each event to deliver a valuable experience for participants and to promote SOPC’s goals and mission.
  • Collaborate with internal departments and external partners to gather content and set event themes that reflect SOPC’s core values and strategic focus areas.

Logistics and Venue Management

  • Oversee venue selection, logistical arrangements, scheduling, and budgeting to ensure smooth and professional execution of all events.
  • Manage relationships with venues, vendors, and service providers, negotiating contracts and ensuring alignment with SOPC’s standards and budget.
  • Ensure that all logistical elements (e.g., AV setup, catering, transportation, signage) are in place and meet SOPC’s quality and brand standards.

Support for Local Organizing Committees (LOCs)

  • Offer expert support and guidance to Local Organizing Committees (LOCs) in preparing and submitting required documentation, ensuring smooth event operations.
  • Lead the transition from the event award phase to the establishment of the LOC, ensuring all necessary resources, frameworks, and systems are in place to enable efficient event planning.
  • Oversee the LOC’s planning and execution strategies, ensuring that timelines, budgets, and quality standards are consistently met across all stages of event delivery.

Vendor and Service Provider Collaboration

  • Collaborate with relevant vendors and service providers to ensure successful delivery of all event components, maintaining open lines of communication and operational efficiency.
  • Manage vendor relationships, ensuring they adhere to SOPC standards and contractual obligations, and ensure all logistical aspects (e.g., audio-visual, transportation, guest services, etc.) meet SOPC’s expectations.
  • Coordinate with external partners to ensure that all logistics, including venue setup, AV needs, and guest services, are prepared according to SOPC’s requirements.

Event Planning and Monitoring

  • Monitor and track event delivery against established KPIs, ensuring tasks are completed on time and emerging challenges are proactively addressed.
  • Maintain detailed records of event milestones and timelines, providing regular updates to senior management on the status and progress of events.
  • Monitor LOC adherence to SOPC standards in all aspects of event planning and execution, ensuring a consistent level of quality and professionalism.

Continuous Improvement and Lessons Learned

  • Document lessons learned from event execution and use these insights to drive continuous improvement in future event planning and execution.
  • Create post-event reports and recommendations, identifying areas for improvement, and suggesting best practices for future events.
  • Foster a culture of continuous improvement within LOCs by encouraging feedback and documenting key takeaways after each event to refine planning and execution practices.
