Position Overview
We are looking for a skilled and detail-oriented Project Coordinator to join our dynamic team. The successful candidate will be responsible for overseeing the planning, coordination, and execution of audio and lighting projects across various events. This role involves close collaboration with clients, vendors, and internal teams to ensure each project is delivered on time, within budget, and to the highest quality standards.
Key Responsibilities
Liaise with clients to gather requirements and expectations for audio and lighting setups.
Develop comprehensive project plans, timelines, and budgets in collaboration with stakeholders.
Source, evaluate, and manage third-party suppliers for equipment and technical services.
Supervise on-site installation, setup, and testing of audio and lighting systems.
Monitor project execution and proactively address any issues or delays.
Ensure all work is compliant with safety regulations and industry best practices.
Provide clear and regular updates to clients and internal stakeholders on project status.
Track and manage project budgets, ensuring cost efficiency and financial accuracy.
Conduct post-event reviews to evaluate outcomes and implement continuous improvements.
Support and mentor junior staff or assistants within the project team.
Requirements
Bachelor’s degree in Event Management, Audio Engineering, or a related field.
Strong organizational and project management skills.
Excellent communication and interpersonal abilities.
Practical knowledge of audio and lighting systems and technologies.
Ability to manage multiple tasks under pressure and tight deadlines.
Proficiency in Microsoft Office and project management tools.
Project Management certification (PMP or equivalent) is a plus.
Key Performance Indicators (KPIs)
Project Delivery Timeliness – Adherence to schedules and deadlines.
Task Completion Rate – Timely execution of assigned tasks within defined scope.
Stakeholder Communication – Quality and consistency of communication with clients and team members.
Client Satisfaction – Measured through feedback and post-project evaluations.
Resource Efficiency – Effective use of budget, personnel, and materials.
Risk Mitigation – Identification and resolution of potential project risks.
Accuracy of Documentation – Quality and completeness of all project records and reports.
Team Collaboration – Effectiveness of coordination with internal departments and vendors.
Cost Control – Ability to maintain or reduce costs within the allocated budget.
Deliverable Quality – Overall success and professional standards of the final output.
