Job description:Job Purpose

Ensuring projects are aligned with organizational goals, governed effectively, and delivered efficiently. The role involves assisting in the implementation of PMO frameworks, overseeing project performance, managing resources, and mitigating risks, while ensuring clear communication with stakeholders. It also focuses on continuous improvement and the consistent use of project management methodologies and tools to drive successful project outcomes.

Key Accountability Areas
  • Establishing and Supporting the PMO Framework:

Contribute to the formulation of the PMO framework, standards, and methodologies, ensuring they are aligned with organizational goals and industry best practices.Ensure that PMO processes, templates, and tools are implemented consistently across projects.Recommend improvements to the PMO framework and methodologies based on feedback and performance data.

  • Project Governance and Oversight:

Ensure that project managers and teams follow established governance processes and standards.Assist project managers with guidance on project delivery challenges, ensuring alignment with the PMO's standards and methodologies.Regularly audit ongoing projects to ensure they adhere to PMO governance and regulatory compliance.

  • Strategic Alignment:

Work with senior leaders to ensure that the project portfolio supports the organization’s strategic goals.Act as a liaison between project teams and key stakeholders to ensure that business priorities are reflected in project planning and execution.Support the process of prioritizing projects based on business needs, available resources, and overall strategic objectives.

  • Resource Management:

Help optimize the allocation of resources across multiple projects, ensuring that teams have the necessary resources to succeed.Track the capacity of teams and resources to meet project demands and identify potential resource shortages or overages.Work closely with resource managers to balance project demands with resource availability.

  • Risk Management and Mitigation:

Assist in the identification and assessment of project risks, ensuring that risk mitigation strategies are developed and implemented.Track the progress of risk mitigation strategies and ensure that risks are managed proactively.Escalate unresolved or critical risks to senior management for timely intervention.

  • Performance Monitoring and Reporting:

Contribute to the development of performance metrics for project success, monitoring key performance indicators (KPIs) such as budget adherence, timelines, and quality.Prepare and disseminate regular project status reports, highlighting project health, key risks, and progress against targets.Assist project managers in tracking project performance and ensure adherence to project timelines, scope, and budget.

  • Continuous Improvement:

Collect feedback and performance data to identify opportunities for process enhancements.Assist in the implementation of best practices within the PMO to streamline project management processes.Encourage knowledge sharing and lessons learned across teams to ensure continuous learning within the PMO.

  • Stakeholder Communication:

Ensure clear, consistent communication between project teams, stakeholders, and senior management.Assist in the preparation of presentations and updates for key stakeholders, ensuring transparency in reporting and decision-making.Address minor concerns or inquiries from stakeholders, escalating more complex issues to senior management.

  • Project Methodology and Tools:

Ensure the consistent application of project management methodologies and tools across all projects within the PMO.Provide ongoing support for the use of project management software and tools, assisting teams with their proper usage.Assist in the training and onboarding of new project managers or team members in the use of PMO methodologies and tools.

  • Ability to recruit, recognize and cultivate high performers and expose them in order to create a robust second line of management.
  • Ability to recognize low performers and guide them to improve or release them.
  • Ability to treat subordinates equally without any discrimination.
  • Assessment criteria of subordinates is performance that leads to planned results.
  • Ensure availability of delegation of authority matrix to have sufficient delegations as per company policy.

Responsibility:

  • Must take full responsibility for his operation as per the job description and the required deliverables from this position, taking into consideration the general company guidelines.

  • Ability to take necessary and proper timely decisions.

Business Planning and Performance:

  • Able to transform the corporate goals into business plans.
  • Able to Plan, follow-up and execute those plans, whether they are annual or development plans.
  • Monitor the plan performance and initiate action to strengthen results and take the corrective action accordingly.
  • Provide periodic work progress reports.
  • Responsible for monitoring and controlling budgets and expenses to achieve the optimum cost efficiency.

Organizational Development:

  • Develop the organizational structure according to the current requirements taking into consideration future and development plans.
  • Ensure availability of job descriptions for all job roles and deployment.

Business Process Improvements:

  • Develop, coordinate well-defined written systems, policies, procedures, and seek automations opportunities as much as possible.
  • Should be conversant and able to navigate through IT solutions especially those relevant to his job and business.
  • Promote the automated systems and using them fully, to spread its culture.

Quality:

  • Quality is considered as alfanar’s prime competitive advantage as such, managers are expected to act accordingly.
