The Coordinator of Strategic Planning & Governance works in the core team of the Esports World Cup (EWC) project by assisting in the development and implementation of strategic initiatives and ensuring continuous project progress and maintaining a firm SoW process. This role is crucial in supporting the dynamic environment of EWC, focusing on maintaining organized documentation and communication. This position requires strong organizational skills, attention to detail, and the ability to work in a fast-paced environment.

The position reports into the Senior Manager PMO, Esports World Cup.

KEY RESPONSIBILITIES

  • Maintaining the Scope of Work (SoW) process, ensuring accuracy through action item tracking.
  • Accommodate meetings with the right stakeholder group to resolve project concerns & blockers.
  • Support the implementation of any change management.
  • Help organize and coordinate workshops for internal and external stakeholders, including scheduling and logistics for monthly client-facing office visits in Riyadh.
  • Assist in managing internal and external meetings, including agenda preparation and action item tracking and reporting.
  • Support the implementation and maintenance of an effective communication plan, including maintaining slack channels, monday.com and google workspaces. .
  • Assist in managing the escalation process for stakeholders to raise critical issues.
  • Maintain a centralized documentation system, including the Drive structure for internal and external documents.

REQUIRED SKILLS & COMPETENCIES

  • 3+ years of experience in Project Management (preferably in events/entertainment/live-sports industry).
  • Strong hands-on experience with project management platforms (e.g., Monday.com, Asana, Jira), enabling efficient tracking, collaboration, and execution of project deliverables.
  • Strong organizational skills and attention to detail.
  • Good communication skills to assist in maintaining effective communication channels.
  • Ability to adapt to dynamic project environments.
  • Analytical skills to support project initiatives.
  • Proficiency in documentation management and information systems.
  • Ability to support standardized processes.
  • A positive, solution-oriented mindset.
  • Ability to maintain positive energy during project transitions.
  • Excellent written and verbal communication skills in English.
