Job Overview

The Navy SEAL Foundation is dedicated to raising the necessary funds to support our mission. The Eastern Region Events Manager (EM) is responsible for developing and coordinating events (Signature Fundraising Events, Events of Significance, and cultivation/stewardship events in the Eastern half of the United States) and all related materials supporting and facilitating donor development, cultivation, and fundraising. Additionally, the EM engages with the donor community and ensures alignment with the overall development strategies. The EM oversees all aspects of development event-related activities from the concept stage to completion and then through the cultivation phase. Must be willing to travel 8-10 times annually. 

Responsibilities and Duties
  • Logistics Management for Signature Fundraising Events: Manage and oversee all logistics and execution for fundraising events, which may include:
  • Securing venues, permits, and insurance; working with vendors as needed
  • Reviewing vendor proposals, negotiating contracts, and ensuring budget constraints are met
  • Supervising the invitation/collateral development process (distribution of supporting materials, creating invitations, generating lists, facilitating invitations, managing follow-up)
  • Working with the Foundation’s Communication Director to coordinate event materials (visual needs for events) or press
  • Acting as the Foundation’s primary point of contact for all Signature Events and working closely with volunteers, Ambassadors, and Foundation leadership
  • Determining volunteer and NSW community needs, overseeing outreach and onsite management, and integrating activities with other directorates to ensure strategic synergy within NSF
  • Managing event registration, including payment processing
  • Directing creative efforts, including the look and feel of events
  • Managing transportation and travel needs for speakers and other honored guests
  • Coordinating entertainment and developing a speaking program
  • Developing speaker and special guest briefs and bios as necessary
  • With Foundation staff, implementing Committee input and recommendations on décor, menu, and themes
  • Determining collateral needs, including signage, programs, giveaways, and overseeing creation and distribution
  • Leading follow-up and working with the Development Director and Gift Manager to ensure that attendance and income are properly recorded
  • Event Development and Coordination: Work with the team to develop programming and events designed to cultivate donors and raise funds for the Foundation. The team may include but is not limited to regional Development Directors, other staff, Board Members, Ambassadors, and donors.
  • Event Conceptualization and Standardization: Conceptualize, categorize, and standardize events that will fit within the organization's mission and meet high standards of quality and execution.
  • Budget Management: Develop and adhere to event budgets, seeking in-kind contributions and discounts whenever possible.
  • Donor and Vendor Interaction: The EM regularly interacts with donors and vendors. The EM is responsible for managing all event vendors and ensuring the completion of all hired tasks. 
  • Collaboration with Development Associate: Work closely with the Development Associate to ensure Independent Fundraising Events meet the Foundation's ethical and quality standards.
  • Record Maintenance: Maintain individual, foundation, and corporate records related to Foundation events.
  • Follow-up Coordination: Coordinate appropriate follow-up with attendees, vendors, and other participants for each event.
  • Auction Trip Coordination: Coordinate post-event auction trips for donors, including arranging travel logistics, accommodations, and itineraries and ensuring all trip details align with donor expectations and Foundation standards. Work closely with donors to provide exceptional experiences and follow up to gather feedback and maintain engagement.
  • Gift Ideation and Oversight: Develop ideas and oversee the design and production of event gifts, leadership gifts, and dinner chair gifts. Ensure gifts are of high quality, align with the Foundation's mission, and are delivered promptly.
  • Independent Fundraising Event Support: Evaluate and review submissions for independent fundraising events, ensuring alignment with NSF criteria and standards. Approve or decline proposals based on these assessments. Offer comprehensive guidance and support to event organizers to ensure successful and compliant events.
  • Support for Regional Director
  • Support the Regional Director in planning and executing regional stewardship/cultivation events and activities.
  • Coordinate logistics for stewardship events, including invitations, RSVPs, and follow-up communications.
  • Set and maintain budgets for regional initiatives 
  • Research prospects and compile bios for special guests 
  • Assist with the preparation of materials and presentations.
  • Conduct research on potential donors and funding opportunities within the region.
  • Administrative Duties:
  • Maintain accurate and up-to-date donor records in the Foundation’s database.
  • Work with Salesforce administrators to improve Salesforce and track donor interests, geography, and industry.
  • Prepare regular reports on fundraising activities and progress toward goals.
  • Handle donor inquiries and provide excellent customer service to ensure donor satisfaction.
  • Assist with administrative tasks to support the Regional Director and the development team.
  • Handle invoicing
  • Develop training materials for new team members 
  • Draft donor communications, including regional updates, committee emails, etc.
  • Ensure consistent and effective messaging aligned with the Foundation’s mission and values.
Qualifications
  • Education: Bachelor’s Degree
  • Experience:
  • Proven experience in an events position, public relations, or communications.
  • Proficiency in G-Suite.
  • Experience with advanced cloud-based CRM platforms (Salesforce preferred).
  • Experience with online fundraising platforms (Classy preferred).
  • Skills:
  • Excellent verbal and written communication skills.
  • Exceptional attention to detail.
  • Enthusiasm and dedication to teamwork.
  • Ability to effectively manage and prioritize multiple projects simultaneously.
  • Ability to present information concisely and effectively, both verbally and in writing.
