Job Purpose

Responsible for the strategic design, configuration, implementation, continuous optimization, and day-to-day operations of the SAP SuccessFactors platform within the organization. This role merges solution architecture, business application expertise, and system administration to ensure SAP SuccessFactors effectively supports the organization’s human capital management (HCM) processes, including talent acquisition, performance management, employee engagement, and learning management. The role provides leadership in aligning business requirements with technical solutions, optimizing system performance, and ensuring end-user satisfaction through continuous support and training.

Job Specific Accountabilities

Solution Architecture

  • Define the technical and functional architecture of the SAP SuccessFactors modules, ensuring seamless integration with SAP S/4HANA, and other third-party systems to enable unified data flow and streamlined processes.
  • Configure, maintain, and optimize core SAP SuccessFactors modules, including Employee Central, Performance Management, Learning Management, Recruiting, Compensation, and others as required.
  • Manage user accounts, roles, permissions, and security settings to ensure system access aligns with organizational policies and complies with data protection regulations.
  • Conduct regular audits to ensure data integrity and oversee system performance, troubleshooting issues proactively to minimize downtime and ensure seamless operations.
  • Coordinate annual and quarterly release management processes, testing new features, and implementing updates while minimizing disruption to users.
  • Oversee the end-to-end implementation process, including requirements gathering, solution design, testing, user training, go-live, and post-deployment support, ensuring timely and efficient delivery.
  • Lead design workshops with cross-functional stakeholders, capturing business requirements, translating them into detailed technical designs, and gaining buy-in to create sustainable solutions.
  • Define a strategic roadmap for the ongoing enhancement of SAP SuccessFactors, incorporating best practices, emerging technologies, and continuous improvement to meet evolving business needs.

Domain Expertise

  • Collaborate closely with HR and other business stakeholders to gather requirements, define functional specifications, and design tailored solutions that meet organizational needs and HR strategy.
  • Facilitate workshops, training sessions, and demonstrations for end-users, increasing system utilization and promoting effective adoption across departments.
  • Act as a trusted advisor, providing ongoing functional support for SAP SuccessFactors, resolving issues efficiently, and supporting HR process optimization.
  • Serve as the subject matter expert (SME) for SAP SuccessFactors, advising on HR best practices, trends, and leveraging system capabilities to improve HR processes and enhance the employee experience.
  • Stay updated on industry trends, SuccessFactors roadmaps, and emerging HR technologies, offering insights that align with long-term HR and IT strategies.
  • Maintain comprehensive, up-to-date documentation of system configurations, process workflows, customizations, and system enhancements to ensure clear communication, knowledge sharing, and compliance with internal and external audits.

Integration Management

  • Oversee and manage integrations between SAP SuccessFactors and other enterprise systems, such as payroll, ERP systems (e.g., S/4HANA), talent management platforms, and time tracking systems.
  • Advise on the use of SAP Cloud Platform Integration (CPI), Integration Centre and API’s for integration between SAP SuccessFactors and other SAP modules in scope.
  • Collaborate with IT and external vendors to ensure seamless data flow, resolve integration issues, and maintain robust data synchronization and system interoperability.

Data Management and Reporting

  • Contribute to the data governance policies to ensure that data integrated into SAP SuccessFactors from various sources is accurate, secure, and complies with organizational standards.
  • Manage and ensure the accuracy of employee master data uploads, regular updates, and ongoing maintenance within the SuccessFactors system, adhering to compliance standards.
  • Create, generate, and interpret complex reports and analytics to provide insights into HR performance, workforce trends, compliance, and employee engagement.
  • Develop customized dashboards and reporting templates for HR leadership, aligning metrics with strategic goals and operational needs.

User Training and Support

  • Provide frontline support to end-users, troubleshooting issues and addressing queries promptly to maintain high user satisfaction.
  • Develop and maintain comprehensive user documentation, process guides, and training materials to support effective user onboarding and ongoing system engagement.
  • Implement a self-service support model where feasible, such as FAQs and online training resources, to empower users and reduce support requests.
  • Conduct hands-on workshops and provide customized support to various user groups, ensuring that the solution is used efficiently to achieve key performance indicators (KPIs) and business objectives.

Cross-Functional Collaboration & Stakeholder Engagement

  • Engage and communicate with key stakeholders throughout project phases, facilitating alignment on project goals, expectations, and technical solutions.
  • Build strong relationships with key stakeholders to foster a collaborative, results-oriented approach to data-driven decision-making, communicating project milestones, timelines, and risks effectively.
  • Facilitate regular progress updates, status reports, and feedback sessions with business and IT teams, ensuring alignment across departments and promoting transparency throughout the project lifecycle.
  • Manage relationships with SAP SuccessFactors consultants, vendors, and third-party solution providers to ensure successful service delivery, project support, and issue resolution.

Continuous Improvement and System Optimization

  • Stay informed on advancements in procurement technology, including SAP SuccessFactors updates and complementary tools, identifying potential improvements to enhance operational effectiveness.
  • Identify areas for improvement within SuccessFactors, proposing and implementing configuration changes to enhance user experience, operational efficiency, and alignment with evolving business needs.
  • Monitor system updates and assess the relevance of new features and functionalities, developing action plans to implement beneficial enhancements.
  • Lead post-implementation reviews and gather user feedback to drive continuous improvement and best-in-class HR technology utilization.

Project Management

  • Manage related projects, including module implementation, upgrades, and process automation initiatives.
  • Support cross-functional coordination, ensuring timely project delivery and adherence to scope and quality requirements.
