Job Purpose

Responsible for managing the daily administrative and operational activities of SOPC’s Boards and Committees. This role ensures that meetings are well-organized, governance procedures are applied correctly, and all decisions are documented and followed up effectively. The Manager acts as a key coordination point between the Secretary General & CEO’s Office, Board and Committee members, and internal departments, supporting clear communication, smooth workflows, and alignment with SOPC’s governance requirements.

Job Specific Accountabilities

Board and Committee Operations

  • Manage the full coordination of SOPC’s Board and Committee meetings, including scheduling, preparation of materials, and ensuring smooth meeting execution.
  • Prepare and share meeting agendas, supporting documents, and follow-up materials to help members stay informed and aligned with SOPC priorities.
  • Maintain an updated governance calendar and ensure all Board and Committee activities are planned and executed on time.

Governance and Compliance

  • Ensure Board and Committee activities follow SOPC’s governance policies, procedures, and regulatory requirements.
  • Apply SOPC’s governance standards during meetings and support consistency in documentation and processes.
  • Provide basic guidance to members on governance procedures and help ensure adherence to required protocols.

Documentation and Record Management

  • Oversee the preparation of accurate meeting minutes, resolutions, and action item logs, ensuring all records are clear and well-organized.
  • Maintain a structured filing and knowledge management system to store documents securely and support audit readiness.
  • Handle sensitive information with confidentiality and professionalism.

Stakeholder Coordination

  • Act as a key point of contact between the Secretary General & CEO’s Office, Board and Committee members, and internal departments.
  • Support effective communication and collaboration by providing timely information and responding to stakeholder needs.
  • Build positive working relationships with members to encourage engagement and ensure meeting requirements are met.

Action Item Tracking

  • Track and follow up on action items and decisions from Board and Committee meetings to ensure timely implementation.
  • Coordinate with relevant departments to gather updates and monitor progress on assigned tasks.
  • Prepare status updates for leadership, highlighting any risks, delays, or support needed.

Reporting and Alignment

  • Prepare regular reports summarizing meeting activities, outcomes, and progress on action items for the Secretary General & CEO’s Office.
  • Support the alignment of Board and Committee discussions with broader organizational plans by ensuring clear documentation and sharing insights with relevant stakeholders.
  • Assist in identifying opportunities to improve governance processes and meeting effectiveness.
