Job Summary: The HireDesk Supervisor will oversee the daily operations of the HireDesk, ensuring efficient coordination of equipment rental transactions, customer service, and operational support. The role requires a detail-oriented professional with strong leadership skills to manage the hire process, maintain system accuracy, and support the sales and operations teams.

 

Key Responsibilities:

  • Supervise the HireDesk team to ensure timely and accurate processing of rental contracts, extensions, and off-hires.
  • Monitor and manage equipment availability in coordination with operations and logistics teams.
  • Ensure all rental agreements are processed in the ERP system, maintaining accurate data and documentation.
  • Review and approve rental quotations, ensuring correct pricing, contract terms, and compliance with company policies.
  • Coordinate with the Sales team to support customer inquiries, contract modifications, and account management.
  • Ensure proper billing and invoicing processes are followed, minimizing discrepancies and delays.
  • Oversee customer credit approvals in coordination with the finance department.
  • Assist in resolving customer disputes related to contracts, pricing, or rental terms.
  • Provide training and guidance to the HireDesk staff, ensuring high performance and compliance with company standards.
  • Generate and analyze rental reports, tracking utilization, revenue, and market trends.

 

Requirements:

  • Prior supervisory experience in a similar role is preferred.
  • Minimum 5 years of experience in supervisory role in equipment rental, hire desk, or operations.
  • Strong knowledge of rental processes, contract management, and ERP systems.
  • Excellent communication and problem-solving skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Proficiency in Microsoft Office (Excel, Word, Outlook).
