Job Outline: Event Control Room Producer

The Event Control Room Producer is responsible for establishing and managing event management centers for a variety of annual projects in the MENA region. This position will join and work with operations teams on key live event projects of all types to manage and run their control rooms with an understanding of each specific event’s challenges, goals, and risks. They will be responsible for ensuring smooth coordination between various event departments, and managing real-time responses to incidents or operational issues. This individual shouldhave the ability to unite multiple departments and create communication workflows to ensure parties are informed and stay on task. Knowledge of when to escalate to leadership or authorities for proper decision making is critical.

In addition, this position will be responsible for TAIT’s positioning as an industry leader in live event control room operations, establishing relationships with possible clients and ensuring a positive regional reputation of expertise and experience. The Event Control Room Producer will create strategic documentation and pitch methodology to ensure that all event control centers operate efficiently, adhering to best practices in safety, security, and operational coordination.

This role requires strong leadership, decision-making, and communication skills to ensure the successful execution of large-scale events and to assist in planning overall vision and strategy of establishing TAIT’s presence in this space.

Areas Of Focus

  • Event Control Operations, Dispatch Operations, Emergency Messaging, Incident Reporting and Management, Incident Management Software.
  • Lead the overall strategy for Event Control Rooms, analyzing areas of improvement and implementing important changes to ensure safe and efficient event operations.
  • Develop Event Control policy and procedure documents.
  • Lead on the design, layout, and execution of Event Control rooms to facilitate clear communication across teams during Show Days.
  • Lead on the development of escalation paths and procedures to manage and resolve incidents of all types to anticipate and prepare for Show Days.
  • Planning and process development, including table top exercise scenarios and the development of clear training plans and expectations for all groups working in the Event Control room.
  • Establish and run training programs for control room staff, applicable to size and style of event
  • Build a control room playbook covering each aspect of an event control room and best practices for achieving each.
  • Lead on the selection and development of Incident Management Software and training programs.
  • Develop and maintain reporting template and show day leadership meeting cadence documents.
  • Assist with the creation of the After-Actions post event report template, including qualitative feedback and data/metrics developed throughout the execution of the event
  • Analyze and feed back to event management teams on current / existing control room processes and recommend and action improvements.
  • Establish relationships with relevant Government Authorities, possible suppliers, and future clients
  • Lead in problem solving and troubleshooting when required or requested
  • Lead with the development of reports and presentations to highlight achievements and in progress action on projects.
  • Create a sense of community and welcoming for all event crew and promote a first-class hospitality environment, with the view to foster a positive and fun experience to all crew on site.
  • Develop relationships with all departments, key suppliers, partners and clients in order to achieve results.

Qualifications

  • Have excellent interpersonal & communication skills, both verbal & written.
  • 5+Years experience strategizing, establishing and running event JOCs, Control Rooms, or similar for mass gatherings – music, sports, political, religious, etc.A proven track record of success within operations and credible experience with large scale events.
  • 5+ Years in management roles in the live event industryincluding managing direct teams and operational teams up to 50+
  • Experience integrating with as well as establishing new workflows for event organizer communication and collaboration with AHJs, municipality and government agencies.
  • Experience with live data monitoring methods for events and understanding of patterns, trends, and forecasting
  • Familiarity and experience with technology/standard equipment in current mass gathering control centers including but not limited to:
    • CCTV systems
    • Crowd datamodelling andmonitoring (Crowd Connected, people counting cameras, etc)
    • Communications systems – Radios, Party Line (PL) intercom systems, cellular, SMS, others
    • Dispatching platforms
    • Incident report platforms
    • Weather monitoring
    • Social Media monitoring
  • Experience establishing event operations protocols (C3 and similar) around operational and stakeholder decision making processes
  • Familiarity with training methods for control center teams – tabletops/scenario planning, etc.
  • Experience in integrating with and/or defining record-keeping and documentation methodologies to support all event stakeholders, including but not limited toauditing, liability, and future reference
  • Experience in crowd management / safety a plus. International certifications in Health & Safety will be considered.
  • Medical training and response certifications will be considered.
  • Past experience in the GCC area advantageous, especially KSA, Dubai, Qatar, etc.
  • Preferred candidate will reside in Riyadh or Dubai and willing to be in region for 12+ month contract.
  • Strong knowledge of international event industry and core event production elements, terms, and process
  • Ability to evaluate approaches and discover efficiencies
  • Strategize, meet and devise plans with executives and core team members
  • Ensure that all work conforms to pre-established specifications & standards.
  • Take initiative, multi-task, and work positively in a fast-paced environment.
  • Work with discretion, diplomacy, confidentiality, and tact in high-pressure settings.
