Job Purpose
Handles employee contracts in the QIWA system, manages GOSI certificate issuance and reports, and submits commercial visit visa requests. Ensure compliance, track progress, and coordinate with relevant departments to ensure timely processing of contracts, GOSI, and visa-related tasks.
Key Accountability AreasContract Management:
- Upload employee contracts in the QIWA system in accordance with company policies and regulatory requirements.
- Ensure accurate and timely entry of contract details for employees and their respective branches.
GOSI Certificate Issuance:
- Initiate and follow up on the issuance of GOSI certificates for the company and all its branches.
- Ensure compliance with GOSI regulations and resolve any issues or discrepancies related to GOSI registrations.
GOSI Reports:
- Regularly extract and review GOSI reports to ensure accuracy and compliance with the company’s records.
- Address any discrepancies and communicate with relevant stakeholders to resolve issues.
Commercial Visit Visa Requests:
- Submit requests for commercial visit visas on behalf of the company to the Ministry of Foreign Affairs.
- Ensure the proper documentation is provided, and track the progress of visa applications to guarantee timely issuance.
Coordination and Follow-up:
- Act as the main point of contact for all matters related to employee contracts, GOSI, and commercial visas.
- Follow up with relevant departments, government agencies, and employees to ensure smooth and timely processing of all administrative requests.
HR Proficiency:
- Ability to obtain updated soft and technical skills related to the job.
Delivery:
- Perform the planned activities to meet the operational and development targets as per delivery schedules.
- Utilize resources effectively to achieve objectives within efficient cost and time.
- Provide a periodic report formatted by detailing the deviation and execution of planned tasks.
Problem-Solving:
- Solve any related problems arise and escalate any complex operational issues.
Quality:
- Ensure quality requirements to develop effective quality control and processes including specifications for products or processes or related activities.
Business Process Improvements:
- Coordinate well-defined written systems, policies, procedures, and seek automations opportunities as much as possible.
Compliance:
- Comply to related policy and procedures and work instructions.
Health, Safety, and Environment:
- Ensure compliance of relevant safety, quality, and environmental management procedures and controls within defined area of work activity to guarantee safety, legislative compliance, and delivery of high-quality products/services.
