About the Job:
We are looking for a detail-oriented and well-organized Document Controller to join our project support team. This role plays a critical part in managing and maintaining project documentation in compliance with quality and control procedures. The successful candidate will bring a strong background in document control, experience with large engineering or infrastructure projects, and a proven track record of working within a consultant or associate firm.
Key Responsibilities/Deliverables:- Maintain and control the flow of documents and drawings (incoming/outgoing) in accordance with established procedures.
- Manage electronic and hard-copy filing systems, ensuring document accessibility, traceability, and version control.
- Receive, log, track, and distribute project documents to appropriate stakeholders.
- Monitor and update document registers, transmittals, and status reports regularly.
- Ensure that all documents are correctly archived and retrievable as per project requirements.
- Implement document control processes and maintain compliance with quality standards.
- Coordinate with internal departments, consultants, contractors, and clients to manage documentation workflows.
- Assist project teams in retrieving and preparing documentation for audits, reviews, and meetings.
- Provide training and support to project team members on document control systems and best practices.
- Bachelor’s degree or diploma in Business Administration, Library Science, or a relevant discipline preferred.
- Minimum of 6 years of experience in a document control or records management role within engineering, construction, or consultancy firms.
- Must have been a full-time employee of the ASSOCIATE / LOCAL CONSULTANT for at least three (3) years prior to assignment on this contract.
- Proven experience with document control systems and software (e.g., Aconex, SharePoint, EDMS).
- Familiarity with ISO document management standards.
- Excellent organizational and time management skills.
- Strong attention to detail and accuracy.
- Good command of English (spoken and written).
- Proficient in MS Office Suite (Word, Excel, Outlook, etc.).
- Proficiency in English (spoken and written) is required.
- Solid understanding of document lifecycle management.
- Experience in handling confidential and sensitive project documentation.
- Knowledge of engineering and technical document types.
- Ability to work independently and as part of a multidisciplinary team.
- Strong interpersonal and communication skills for effective coordination with internal and external stakeholders.
