Purpose of Job

The job holder is responsible for managing Business Support function including strategic planning support and follow-up, requests management, secretarial support, administrative support, and correspondences management ensuring efficiency and effectiveness to support the operations of the sector/ deputyship.

Job Resposiblites


  • Contribute to the design and implementation of Business Support strategic plan, objectives, and goals ensuring alignment with ZATCA strategy
  • Set Business Support operational plans and direct implementation securing achievement of identified objectives
  • Develop Business Support performance objectives and indicators and continuously monitor progress towards realization of objectives
  • Participate in Business Support budgeting cycle and provide input to the budgeting process
  • Ensure effective utilization of Business Support budget and report accurately on progress made and challenges encountered
  • Investigate and propose implementing initiatives that result in positive financial impact for Business Support and mitigate financial and operational risks
  • Submit detailed reports highlighting proposed sector/deputyship’s strategy and ensure communication of approved strategic objectives and priorities to concerned internal stakeholders
  • Ensure support is provided to sector/deputyships’ functions during the development of departmental annual operating plans and strategy accordingly
  • Liaise with Strategy and Development sector to seek approval on the consolidated departmental strategic, operational and budgetary plans, key performance indicators (KPIs) and targets
  • Ensure proper implementation of ZATCA’s approved operational plans and support internal sector/deputyship in identifying and resolving challenges in collaboration with relevant internal stakeholders
  • Manage the implementation of cross-organizational activities and initiatives ensuring sector/deputyship’s adherence and compliance to organizational mandates and resolve discrepancies when needed
  • Ensure proper implementation of project management activities in sector/ deputyship including the identification of required resources and budget and the development of status update reports
  • Manage coordination and information requests received from internal stakeholders across functions, address requirements and report on status ensuring fulfilment in a timely and accurate manner
  • Manage Vice Governor/ Deputy Governor’s programs, appointments and obligations ensuring time optimization
  • Ensure meeting rooms are available and properly set-up according to Vice Governor/ Deputy Governor’s schedule
  • Attend Vice Governor/ Deputy Governor’s meetings when required, review minutes of meeting, and ensure proper implementation of all discussed areas and actions
  • Manage the issuance of visas for Vice Governor/ Deputy Governor visitors to ensure effective operations’ support while still maintaining cost-effectiveness
  • Ensure proper functioning of office equipment, cleanliness and organization of reception area and offices, and availability of office supplies
  • Manage travel arrangements for Vice Governor/ Deputy Governor ensuring cost-effectiveness in line with policies and procedures
  • Manage conferences and events related to sector/ deputyship in coordination with concerned internal and external stakeholders
  • Manage sector/ deputyship incoming and outgoing correspondences and courier packages including its recording in a central repository and distribution ensuring timeliness and confidentiality
  • Inspire the team and provide guidance, delegation and mentorship in order to create a performance-driven culture
  • Ensure availability and qualification of team through recruitment, training, development, and performance management
  • Take actions to enhance employee engagement and motivation
  • Provide clear top-down communication to employees and bottom-up feedback to senior management

Eductaion

Bachelor’s degree in Business Administration, or equivalent is required

Experience

± 10 years of relevant experience with an optimal ± 4 years of experience in a managerial level
