Admin Service Senior Analyst

Job Summary:

Support the role of the support services department (Admin Services section) in ensuring efficient overall administrative operations, and logistical support across the organization's assets and projects.

Responsibilities:

• Assist in coordinating administrative services including Hospitality services, correspondence, archiving management, and procurement activities to meet organizational needs.
• Conduct regular audits and inspections of facilities to assess operational effectiveness, identify deficiencies, and implement corrective actions.
• Aid in budget tracking and reporting for administrative services, ensuring expenditures align with allocated resources and organizational priorities.
• Serve as a point of contact for internal stakeholders on administrative inquiries, issues, and requests.
• Support administrative projects and initiatives under the guidance of the Admin Services Manager to enhance operational efficiency.
• Assist in preparing reports, presentations, and documentation for senior management regarding administrative operations and security measures.
• Collaborate with peers and senior staff to foster a positive team environment and contribute to organizational goals.
• Coordinate with cross-functional teams to support organizational initiatives and ensure effective communication and cooperation.
• Interface with external service providers, regulatory agencies, and community stakeholders on administrative matters and facility-related issues as directed.
• Maintain and organize administrative records and documents, both physical and digital, ensuring accuracy and confidentiality.
• Oversee and coordinate daily administrative activities such as office management, transportation, facilities coordination, reception services, hospitality services, correspondence operations, and government relations to support organizational needs.

Qualification:

• Bachelor’s degree in Administration or other related field.
• +2 years of experience in related fields.
• Any professional certification in related areas is an advantage.
• Excellent communication and negotiation skills.
• Attention to detail and strong problem-solving abilities.
• Ability to work effectively in a fast-paced environment.
• English: Proficient level
