Job Purpose:

The Assistant Officer – Accounting is responsible for ensuring the accurate and timely processing of invoices and payments to vendors and suppliers. maintaining the financial integrity of the organization by managing expenses, ensuring compliance with company policies and procedures.

Job Accountabilities:

  • Receive and review invoices from vendors and suppliers for accuracy and completeness.
  • Enter invoice data into the accounting system, ensuring proper coding and classification.
  • Follow up with relevant stakeholders to ensure timely approval and processing.
  • Schedule and process payments to vendors based on agreed payment terms.
  • Prepare payment batches and ensure payments are made on time to maintain good vendor relationships.
  • Maintain up-to-date vendor records, including contact information and payment terms.
  • Communicate with vendors regarding invoice discrepancies, payment status, and other inquiries.
  • Reconcile accounts payable transactions and vendor statements to ensure accuracy.
  • Ensure compliance with internal policies and external regulations related to accounts payable.
  • Implement and maintain internal controls to prevent fraud and errors.
  • Assist with internal and external audits by providing necessary documentation and explanations for accounts payable transactions.

Qualifications and Experience:

  • Bachelor’s degree in finance, Accounting, or equivalent.
  • 0–2 years of experience in accounting or a related field.
