Essential Duties

  • Provide executive administrative support and maintain the calendar of the University Librarian

  • Process travel reimbursements and expenditures

  • Supports Academic Professional recruitment efforts

  • Supports Academic Professional promotion efforts

  • Coordinate or assist in the coordination of events for ASU Library divisions

  • Answers phones, greets visitors, and directs questions to appropriate offices for resolution.

  • Performs P-Card reconciliations – ASU Purchasing card

  • Assist in the management of incoming mail and the distribution of incoming supplies

  • Perform other duties as assigned

Minimum Qualifications

Bachelor's degree and five (5) years of executive-level administrative support experience; OR, Nine (9) years of executive-level administrative support experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.

Desired Qualifications

  • Customer Service experience preferred

  • Experience in work that requires organization and attention to detail

  • Demonstrated knowledge of standard office policies and practices

  • Experience working with diverse populations

  • Experience working with confidential information or files

  • Experience working with online financial systems, recruiting systems and payroll systems

  • Experience in using Microsoft Office applications, Adobe Acrobat, and Goggle

  • Evidence of effective communication skills

  • Ability to adapt to new technology

Working Environment

  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse

  • Frequently required to stand for varying lengths of time and walk moderate distances to perform work

  • Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts

  • Ability to clearly communicate to perform essential functions

  • Use office equipment including a calculator, telephone, computer (monitor, keyboard and mouse), printer, fax, and copier.
