Under direct supervision, schedules initial interview and intake appointments for patients, type correspondence and reports: answers telephone and gives information and performs related clerical duties as directed. Support Kaiser physicians and Therapist in Behavioral Health Service.

Essential Functions:

  • Schedules appointments for psychiatric patients on OPAS

  • Contact patients by telephone or correspondence to notify them of appointment changes or to re-schedule

  • Answers telephones & relays messages

  • Answers requests for medical information from outside providers & governmental agencies per Kaiser Permanente protocols

  • Transcribes psychiatric consultation summaries from physician notes

  • File summaries in patient case records & distribute copies to appropriate personnel as directed

  • Maintain confidentiality of medical records

  • Types correspondence, memorandums, forms, reports & statistical reports pertaining to departmental activities

  • Sort & distribute mail (inter-office & postal mail)

  • Clerical support: file correspondence & reports, makes copies of documents

  • Call in prescriptions

  • Order lab tests

  • Maintain office supplies & re-order as needed

  • May assist in reception by checking in patients & receiving co-payments

  • Establishes & maintains courteous, cooperative relations w/ interaction w/ other personnel, providers, health plan members & the public

  • Call patient from waiting area & place in exam rooms

  • Key DKAs into automated system

  • Arrange for patient admission, transfer, or discharge

  • Arrange for transportation of non-ambulatory patients

  • Complete & forward chart request forms

  • Complete patient processing forms such as admission/discharge documents, chart request, surgery request forms, & obtain patient authorization signatures

  • Complete disability requests for providers

  • Fill out laboratory, x-ray requisitions, & specialized test forms

  • List referrals from physicians

  • Notify appropriate personnel of abnormal lab test results

  • Verify patient/member eligibility

  • Maintain physician & therapist schedules

  • Notify patients of appointments/scheduling changes by phone or mail

  • Prepare physician & therapist schedules

  • Answer member inquiries

  • Explain hospital regulations & policies

  • Explain TRRS policies

  • Transcribes psychiatric consultation summaries of physician notes

  • Type correspondence, memorandums, forms, reports, statistical reports

  • Assist in reception by checking in patients & receiving co-payments

  • File correspondence & reports

  • Copy documents

  • File patient summaries

  • Maintain office supplies & re-order as necessary

  • Request charts

  • Answer & route telephone calls

  • Screen patient calls & take messages for providers

  • Type necessary correspondence

  • Clear paper jams & performs routine maintenance

  • Operate copier equipment

  • Assume other activities & responsibilities as directed

  • Coding System: Care

  • Government/Regulatory Agencies: med-cal, medicare

  • Equipment/machinery: card imprinting machine, computer terminals (i.e., keyboard & screen), & photocopying machine

  • Assume other activities & responsibilities from time to time as directed

Basic Qualifications:

  • Previous mental health experience

  • High school diploma/GED

  • Typing 40 wpm

  • Typing score must be current within one (1) year. Please contact Human Resources for testing

  • Proficient with MS Word and Excel

  • Excellent organizational and interpersonal skills

  • Proficiency with PC required

  • Detail orientated


  • Bilingual in Spanish preferred.

  • Mental Health experience preferred.
