Job Purposes
Support the day-to-day operations of SOPC’s Boards and Committees by coordinating meetings, maintaining accurate documentation, and facilitating effective communication with stakeholders. The role ensures timely execution of assigned tasks, adherence to governance protocols, and seamless logistical support. The Specialist, Special Projects contributes to the efficiency and effectiveness of board and committee operations while gaining valuable experience in governance and organizational processes.

Support the day-to-day operations of SOPC’s Boards and Committees by coordinating meetings, maintaining accurate documentation, and facilitating effective communication with stakeholders. The role ensures timely execution of assigned tasks, adherence to governance protocols, and seamless logistical support. The Specialist, Special Projects contributes to the efficiency and effectiveness of board and committee operations while gaining valuable experience in governance and organizational processes.
Meeting Coordination and Support
- Assist in the scheduling and logistical arrangements of meetings for SOPC’s Boards and Committees, ensuring all participants are informed and prepared.
- Prepare and distribute agendas, meeting materials, and notifications to stakeholders, ensuring accuracy, timeliness, and alignment with governance protocols.
- Provide on-site and virtual support during meetings, ensuring all technical, logistical, and administrative needs are met seamlessly.
- Document meeting minutes, capturing detailed discussions, resolutions, and action items to ensure a comprehensive record.
- Maintain a well-organized and secure repository of all board and committee records, enabling easy retrieval and compliance with SOPC standards.
- Regularly update action item trackers and collaborate with relevant stakeholders to ensure timely follow-up and completion of tasks.
- Act as a liaison between the Boards & Committees function and internal or external stakeholders, ensuring clear and effective communication.
- Share updates, documents, and relevant information with board and committee members in a timely and professional manner.
- Handle routine inquiries from stakeholders, escalating complex issues to senior team members for resolution and guidance.
- Support the implementation and adherence to SOPC’s governance protocols, ensuring all board and committee activities meet regulatory and organizational requirements.
- Assist in the preparation of compliance reports and documentation, ensuring governance processes align with established standards.
- Identify and report any potential deviations from governance protocols to senior team members for corrective action.
- Maintain detailed records of action items and resolutions from board and committee meetings, ensuring clear ownership and deadlines.
- Monitor progress on assigned tasks and prepare periodic updates for review by senior team members.
- Proactively follow up with stakeholders to address delays and ensure timely implementation of decisions and resolutions.
- Provide comprehensive administrative support, including managing schedules, booking venues, and organizing travel logistics for board and committee meetings.
- Assist in the preparation of high-quality presentations, reports, and documents required for board and committee engagements.
- Ensure resources and supplies required for meetings are well-prepared and aligned with the expectations of board and committee members.
- Work closely with senior team members to ensure alignment on goals, deliverables, and priorities within the Boards & Committees function.
- Assist in team initiatives and projects beyond routine responsibilities, demonstrating flexibility and a willingness to contribute to broader objectives.
- Maintain a collaborative attitude and actively support a positive, results-driven team environment.
