Job Purpose
Provide comprehensive administrative and secretarial support to the General Manager, ensuring effective coordination, communication, and follow-up across the department. The role requires professionalism, discretion, and the ability to manage sensitive information within a public sector environment.

Provide comprehensive administrative and secretarial support to the General Manager, ensuring effective coordination, communication, and follow-up across the department. Key Responsibilities
- Manage the General Manager’s calendar, schedule appointments, prioritize commitments, and issue reminders.
- Prepare, proofread, and format reports, letters, presentations, and official documents.
- Review GM’s email inbox, prioritize items, draft responses, and redirect correspondence as needed.
- Attend meetings upon the GM’s request and prepare accurate Minutes of Meetings.
- Ensure smooth flow of information between the GM and internal/external stakeholders.
- Organize and coordinate internal and external meetings, including logistics and documentation.
- Prepare weekly departmental status updates and follow up with other departments for outstanding items.
- Receive, review, and categorize official letters (confidential and non-confidential), prepare drafts/responses based on the GM’s direction.
- Maintain confidential records and ensure secure handling of sensitive information.
- Support the GM in special projects and administrative assignments.
- Communication & Correspondence
- Draft formal correspondence addressed to government entities, private organizations, and internal departments.
- Act as the primary point of contact for employees interacting with the GM’s office.
- Ensure timely follow-ups on tasks, actions, and departmental requests.
- Documentation & Compliance
- Prepare and review employee leave applications before submission.
- Develop and update templates, forms, and internal documents used by the sector.
- Support adherence to administrative and governance standards applicable within the public sector.
- Bachelor’s degree in Business Administration, Office Management, or related field.
- Experience working in public sector, semi-government, or large corporate entities is preferred.
- Minimum 3–5 years of experience in executive secretarial or administrative roles.
- Strong proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
- Excellent command of written and spoken Arabic and English.
- High level of discretion, integrity, and professionalism.
- Strong organizational, communication, and time-management skills.
- Ability to handle multiple tasks and manage priorities in a fast-paced environment.
- Saudi Citizen (mandatory)
