The Sales and Operations Coordinator supports the sales and operations teams by managing administrative tasks, coordinating order processing, and ensuring smooth communication between departments. Job Summary:
The Sales and Operations Coordinator supports the sales and operations teams by managing administrative tasks, coordinating order processing, and ensuring smooth communication between departments. This role involves handling inquiries, preparing sales reports, monitoring office process to enhance overall efficiency and customer satisfaction.
RESPONSIBILITIES/ACCOUNTABILTY & AUTHORITY:
- Maintain accurate records of sales and operational activities.
- Prepare reports and presentations for management review.
- Assist in planning and executing sales events, trade shows, and promotional campaigns.
- Assist in the planning and execution of operational strategies and initiatives.
- Coordinate marketing materials and promotional activities with the marketing team.
- Manage sales databases and update customer records.
- Assist sales representatives with administrative tasks For Sales & Operations Team and customer inquiries.
- Prepare and process sales orders, contracts, and invoices.
- Coordinate schedules and appointments for the sales & Operations team.
- Facilitate communication between sales, marketing, and other departments.
- Organize and participate in sales meetings, conferences, and training sessions.
- Generate sales reports and forecasts.
- Analyze sales data to identify trends and opportunities for improvement.
- Track sales performance and progress towards targets.
- Coordinate with logistics and inventory teams to ensure product availability and timely delivery.
- Handle any order discrepancies and follow up on backorders.
- Suggest and implement solutions to enhance efficiency and effectiveness.
- Maintain and update sales documentation, such as price lists, catalogs, and promotional materials.
- Maintain office supplies and equipment for the sales department.
- Work with the sales team to develop and implement sales strategies.
- Monitor client issues, feedback, deadlines, and deliverables and ensure customer satisfaction.
BEHAVIORAL SKILLS/COMPETENCIES & EXPERIENCE REQUIRED:
- Clearly and effectively convey information to team members, customers, and other stakeholders.
- Listen actively and provide thoughtful responses to inquiries and feedback.
- Prioritize tasks efficiently and meet deadlines.
- Manage multiple responsibilities simultaneously.
- Ensure accuracy in order processing, documentation, and reporting.
- Identify and correct errors promptly.
- Seek opportunities for professional development and growth.
EXPERIENCE/EDUCATION/SKILL-SET REQUIRED:
- Diploma degree or bachelor's degree.
- Experience in Sales 1-3 year's experience.
- Microsoft office
- Attention to detail
- Communication skills - verbal and written
- Problem analysis and problem solving
