We are seeking an experienced Office Manager for our office in Riyadh. We require relevant similar experience gained in KSA alongside strong English and Arabic language skills.

About The Role

Responsibilities will cover the smooth running of the office including all areas from reception and office management duties to administrative and client onboarding.

The role will focus on supporting Partners in the office with day to day management of diaries, administration and creation of client documentation along with HR and procurement responsibilities.

Key Responsibilities

  • Prepare employment contracts and offer letters for new joiners.
  • Add new employees to Workday and ensure all HR data is saved into central file management system
  • Enrol new joiners into new joiner training
  • Enrol new joiners in health insurance and cancel on their last day
  • Manage probation and prepare probation letters
  • Prepare HR-related letters (salary certificates, bank letters, NOCs) upon employee request.
  • Prepare leaver letters and coordinate exit procedures.
  • Maintain employee files, including passports, IDs, and visa documentation, in line with data protection policies.
  • Ensure sick leave and unpaid leave are correctly recorded in Workday.
  • Work closely with the PR officer on new joiners, especially if a visa is required (for expats)
  • Maintain and update distribution lists
  • Arrange accommodation for any trainees when required (not co-op trainees)
  • Manage office supplies, stationery, and equipment.
  • Arrange corporate headshots when required.
  • Support and organise office events/socials, meetings, and CSR activities.
  • Manage reception and meeting room areas
  • Manage equipment, office services, and facilities including liaising with all relevant suppliers (Saudi Telecoms etc.)
  • Maintains a professional and positive office environment
  • Ensure licences and insurance policies are renewed and other regulatory requirements are complied with, e.g. regulatory filings
  • Manage the firm’s relationship with the Saudi bar association, visa administration, and Qiwa portal on behalf of CMS
  • Keeping all staff aware of office procedures such as health and safety requirements
  • General administration and record keeping duties
  • Processing expenses
  • Liaison with Business Development, Marketing, Events and Finance Teams with a view to supporting them on specific team-based tasks

Required Skills/Abilities

  • Excellent written and verbal communication skills in English and Arabic
  • Previous office management experience that includes; facilities, administration and diary management
  • Strong interpersonal and client service skills
  • Detail-oriented and professional
  • Ability to organize and prioritize tasks
  • Extremely proficient in Microsoft Office Suite or other similar software program
  • Ability to maintain confidential records
  • Knowledge of Saudi employment legislation
  • Ability to work under pressure
  • Flexible working approach
  • Adaptable to changes in the working environment
  • Knows when to seek guidance or further input from others before taking action

Education And Experience

  • Bachelor's degree in Business Administration, Finance, HR or related field preferred
  • At least five years' experience in a similar position in KSA
  • Meets all legal requirements to live and work in KSA
  • Experience of office management with knowledge of accounting procedures and information systems (prior experience in a law or professional services firm preferable but not essential)
  • Experience in HR and finance administration
