The Team
The KSA Finance Team is responsible for the day to day management of the commercial and financial operations for the KSA office to ensure the objectives are achieved and data is managed effectively.
Key Responsibilities
Working Capital
- Undertake ad-hoc billing responsibilities as required by Finance Manager i.e., generating draft bills, finalising bills on Elite 3E in accordance with Partner instructions and client specific requirements and uploading of invoices to eBilling portals
- Ensuring bills are dispatched in a timely manner
- Using Elite 3E to respond to general matter, invoice or credit note inquiries from internal and external stakeholders
- Matter data verification - checking new files for errors in billing related criteria and chasing for legal teams for corrections
- Liaising with tax team to assess tax treatment of bills / resolving tax related queries from clients
- Liaising with partners / billers in the regional offices to facilitate multi-jurisdictional billing
- Reviewing and utilising client funds as appropriate within billing process (or returned to client if surplus)
- Day to day housekeeping to include processing write-offs and closing files
- Participating in billing review meetings with Partners with line manager
- Assisting Finance Manager with billing related queries on Elite 3E, including VAT related enquiries
- Assisting wider Finance team with billing/collection queries regarding receipts and correspondent payments
- Liaising with partners and the KSA finance team to produce accurate monthly billing estimates
- Provision of commercial advice in relation to fee arrangements to ensure that profitability levels are maintained
- Following up with clients on overdue invoices by telephone, email and letter within agreed time scales
- Preparation of client statement of accounts to support the collections process
- Maintaining accurate notes on the aged debtors ledgers which is used to keep a record of outstanding invoices and may be used to manage the scheduling of payment chasing
- Lead and Manage monthly Partner debt meetings
- Provide detailed account reconciliations and ad-hoc debtor reports as required
- Deliver the monthly billing and cash collection targets for the office in conjunction with the KSA finance team and the regional working capital team (to include the processing of all billing and collection related transactions in 3E)
- Generate AP report and process payments to vendors and several internal bank accounts as required
- Collaborate with KSA petty cash custodians, record in 3E and provide support to resolve queries and unreconciled items
- Uploading and recording AP vouchers for the KSA office while adhering to Tax regulations
- Working closely with the wider AP function to assist with maintaining Fixed Assets, Accruals and Reconciliation reports
- Checking the KSA Bank accounts for incoming receipts and updating the collections report, and recording the relevant AR receipt voucher in 3E
- Resolving unreconciled items after the Bank Reconciliation is conducted
- Assist with ad hoc requests where required, including in assisting with projects
The ideal candidate will:
- Have a University degree in Business, Finance or Accounting (an accounting qualification is desirable)
- Have experience of working on 3E or Elite Enterprise, or a similar practice management system
- Have 1-3 years of experience working in a similar role within a law firm or other professional services environment
- Have a basic understanding of the principles of VAT and Withholding Tax
- Have excellent attention to detail with a high level of accuracy
- Have intermediate MS Office skills (Excel and Word in particular)
- Have excellent written and verbal communication skills
- Have excellent interpersonal skills, with the ability to deal with all levels of staff (particularly at Partner level)
- Have excellent organisational skills
- Have strong time management skills with the ability to prioritise key tasks
- Be a team player with the flexibility to work additional hours when required
- Be confident and enthusiastic with high sense of responsibility
- Fluency in Arabic and English languages
