Responsibilities
Supervise day-to-day facility operations, ensuring all
areas are well-maintained and functional.
o
Oversee the upkeep and cleanliness of office spaces,
team accommodation, and shared facilities, coordinating with relevant staff and
contractors as needed.
o
Organize periodic inspections of facilities to ensure
quality, cleanliness, and safety standards are met.
Supervise and assign tasks to cleaning staff, hospitality
staff and other facilities-related personnel.
o
Manage time effectively by organizing and prioritizing
tasks, ensuring that all facilities are maintained to a high standard,
particularly during peak hours, office events, or high-traffic periods.
o
Provide guidance and training to staff to improve
service quality, operational efficiency, and adherence to health and safety
standards.
Manage team accommodation facilities, coordinating
room assignments and move-ins/move-outs.
o
Act as the point of contact for renters, managing
leases, agreements, and tenant relations.
o
Conduct regular checks of accommodation and rental
properties to ensure living conditions meet company standards.
o
Assist with any issues related to rental properties
and coordinate with renters or property owners for resolution.
Oversee and coordinate new building projects, ensuring
that construction timelines, quality, and safety standards are met.
o
Work with external contractors and architects to
ensure building projects are completed on time and within budget.
o
Manage the transition of new buildings into operational
status, including facilities setup, logistics, and tenant readiness.
Coordinate with external contractors for maintenance,
repairs, and building construction services, ensuring timely completion and
quality service.
o
Manage contractor relationships, including negotiating
service agreements and monitoring performance to maintain cost-effectiveness.
o
Supervise and document contractor activities on-site,
ensuring compliance with safety regulations and company policies.
Manage inventory for facility-related supplies,
including cleaning materials, office essentials, and building-specific items.
o
Conduct regular stock checks and coordinate with
procurement for timely replenishment of supplies, minimizing disruptions.
o
Track supply usage to optimize inventory management
and reduce waste.
Ensure all facilities operations adhere to health,
safety, and environmental standards.
o
Organize routine safety checks, fire drills, and
emergency response procedures for staff.
o
Stay informed about local facility-related regulations
and ensure all practices are aligned.
Monitor facilities expenses, striving to optimize
costs while maintaining quality and efficiency.
o
Assist in budget planning for facilities operations
and new building projects, identifying potential cost-saving opportunities in
supplies, maintenance, and construction.
Regularly assess facility operations to identify and
implement process improvements in cleanliness, safety, and cost management.
o
Document and track facility performance metrics,
providing regular reports on occupancy rates, building project status, and
vendor performance.
Coordinate with HR and administration to align
facility services with employee needs and organizational policies.
o
Collaborate with senior management to ensure facility
management supports broader organizational goals and strategic planning.
Qualifications
o
Bachelor’s degree in Facilities Management, Business
Administration, or a related field.
o
3+ years of experience in facilities supervision,
including managing contractors, overseeing new building projects, and
coordinating facility services across multiple sites.
o
Strong organizational and leadership skills, with the
ability to manage multiple priorities and direct a team.
o
Effective communication and coordination skills, especially
for liaising with contractors, internal departments, and renters.
o
Knowledge of building project management, facility
safety, and compliance standards.
