An exciting opportunity has come up with a renowned and prestigious hospital in KSA for Executive Secretary / Senior Secretary.

A Senior Secretary is a highly skilled professional who supports Management in an administrative capacity. Conduct research, manage schedules, and provide efficient and effective administrative support. Work under pressure and meet deadlines. Confidentiality has to be maintained and is one of the essential criteria.

To provide administrative support for Management of various levels, receive clients and visitors, arrange travel and correspondence, and schedule meetings. May also be responsible for training and supervising lower-level clerical staff.

If you are considering this job opportunity, you will be:-

  • Manage and maintain an extremely active Executive/Management schedule/calendar.
  • Provide high-level administrative support and assistance to the Executive Management and/or other assigned leadership staff.
  • Coordinate arrangements, meetings/conferences including travel.
  • Attend meetings and take minutes.
  • Maintain electronic and paper records ensuring information is organized and easily accessible.
  • Oversee administrative policies within an organization and within the office; recommending changes as appropriate.
  • Open and distribute correspondence as appropriate.
  • Compile, proofread, and revise draft documents and reports.
  • Prepare reports/presentations, collecting and analyzing information.
  • Develop and utilize historical information; provide retrieval of information.
  • Prepare executive responses to routine memos, letters, or correspondence.
  • Create/maintain a records management system.
  • Interact with customers when appropriate and problem-solve.

Requirements

To be considered for this role, you need to meet the following criteria:

Western Qualified - High school diploma and 6-8 years of administrative experience OR Associate degree and 4-6 years of administrative experience.

Proficient in MS Office or similar software with the ability to learn new or updated software.

Extensive knowledge of clerical and secretarial principles.

Excellent verbal and written communication, organizational skills, and attention to detail.

Excellent time-management skills with a proven ability to meet deadlines.

Fluent in the English language.

Able to type a minimum of 50 words per minute.

Will be reporting to:-

  • Report to the C-Suite or other management levels.
  • Internal: other staff members, managers, directors, board members, and stakeholders within the organization.

Western Qualified Preferred.

Working days - 5 days a week.

Work Location - Eastern Province of Saudi Arabia.
