We are partnering with a leading organization in the energy and infrastructure sector to appoint a highly organized and detail-oriented Bid Coordinator. This role is instrumental in supporting the preparation and submission of competitive proposals, ensuring they are delivered on time, fully compliant, and aligned with client requirements.

The ideal candidate will be capable of managing multiple bids simultaneously, coordinating cross-functional teams, and maintaining the highest standards of documentation quality and accuracy. Key Responsibilities

Proposal Development & Coordination

  • Review RFIs, RFPs, and RFQs to interpret documentation requirements and support the Bid Manager in developing submission plans and timelines.
  • Assist in preparing proposal schedules, tracking deliverables, and ensuring timely completion of all components.
  • Draft and format proposal materials, ensuring accuracy, consistency, and compliance with client expectations.
  • Prepare review drafts, templates, and meeting materials to support internal review and revision processes.


Administrative & Project Support

  • Provide daily coordination and administrative support to the Bid Manager and proposal team.
  • Organize meetings (onsite and virtual) with internal stakeholders and external advisors, and participate in daily proposal status updates.
  • Support the planning and prioritization of multiple concurrent proposal efforts.


Documentation & Production Management

  • Manage end-to-end proposal production, including document preparation, printing, binding, and submission logistics.
  • Maintain electronic proposal files with proper version control, security, and accessibility.
  • Coordinate with the production team on the development of visuals, graphics, and supporting documentation.


Cross-Functional Collaboration

  • Liaise with proposal writers, legal and financial advisors, and internal departments to ensure alignment across all proposal components.
  • Collaborate closely with other coordinators to manage priorities and ensure efficient workflow across multiple bids.


Skills & Competencies

  • Solid understanding of the public procurement process and exposure to PPP projects.
  • Strong organizational, coordination, and time-management skills with the ability to manage multiple projects simultaneously.
  • High attention to detail and commitment to quality under tight deadlines.
  • Proficiency in Microsoft Office Suite and familiarity with collaborative documentation tools.
  • Excellent communication and stakeholder coordination skills.
  • Flexibility to work extended hours or weekends as required during critical project phases.


Qualifications & Experience

  • Bachelors degree in Engineering, Business Administration, or a related field (preferred).
  • Minimum 2 years experience in coordinating procurement activities within the government sector.
  • Minimum 3 years experience supporting public procurement or bid coordination processes.
