Valmet Flow Control is seeking a highly organized and proactive Administrative Officer to join our dynamic team in Dammam. As the Administrative Officer, you will play a crucial role in ensuring the smooth operation of our office by overseeing various administrative and facility management tasks. If you have a keen eye for detail, excellent organizational skills, and a proactive approach to problem-solving, we invite you to apply Responsibilities:
  • Pest Control Contract Management: Update and verify regular visits by pest control services.
  • Office Maintenance: Follow up on utility maintenance to ensure a conducive working environment.
  • Office Supplies Management: Monitor and order office supplies as needed to maintain sufficient stock levels.
  • New Office Furniture Requirements: Source competitive offers from suppliers for new office furniture requirements.
  • Attendance Machine Maintenance: Oversee maintenance of attendance machines, fingerprint scanners, and gate access systems.
  • Manpower Supply Contract: Ensure compliance with local rules in managing manpower supply contracts.
  • Building Contractor Coordination: Follow up with building contractors for maintenance as required.
  • Office Machineries and IT: Manage requirements, maintenance, and IT-related tasks for office machinery.
  • Visitor Logistics: Arrange hotel accommodations and transportation for visitors, including pick-up and drop-off services.
  • Printing Coordination: Coordinate with printing press for business cards, brochures, catalogues, etc.
  • Event Coordination: Plan and organize team-building events, team lunches, and special day celebrations.
  • Sales Support: Assist in the preparation of prequalification files to support the sales team.
  • Finance Assistance: Support finance-related activities, including accounts receivable follow-ups.
Additional Responsibilities:
  • Manage all administrative and reception activities to ensure a professional and welcoming atmosphere.
  • Proven experience in administrative roles.
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Knowledge of local regulations related to administration and facility management.
  • Proficient in MS Office applications.
