Procurement Specialist

Procurement Specialist plays a key role in ensuring the availability of all required materials and
supplies for event execution — at competitive prices, high quality, and timely delivery. The role is
responsible for executing daily purchasing operations, negotiating with suppliers, managing
quotations, following up on purchase orders, and ensuring timely supply aligned with quality
standards and required specifications. The specialist also contributes to enhancing the
procurement cycle's efficiency and improving supply chain performance in support of OMQ’s
objective to reduce costs without compromising the quality of event preparations.
Duties And Responsibilities
Review event requirements with the production, creative, and operations teams to
identify needed materials and equipment.
Source suitable suppliers based on quality, availability, and cost, and obtain
competitive quotations.
Generate purchase orders, follow up on necessary approvals, and ensure orders are
delivered on schedule as per the event timeline.
Verify contract and purchase compliance with budget allocations and agreed terms
prior to signing.
Analyze quotations based on quality, price, payment terms, and delivery timeline, and
recommend the most optimal choice.
Supervise the Logistics Coordinator to ensure delivery timelines align with the overall
event schedule and materials meet approved specifications.
Address any delays or supply issues promptly without disrupting event execution.
Build and maintain a comprehensive supplier database, categorized by supplier
rating, material types, quality, and priority, with continuous updates.
Prepare periodic reports on procurement performance indicators and propose
improvements to the procurement cycle.
Qualifications And Requirements
Bachelor’s degree in Business Administration, Supply Chain Management, or a related field.
2–3 years of experience in procurement, MUST be in the events industry.
Strong negotiation skills to secure optimal value.
Solid understanding of supply chain fundamentals, contracts, and material technical specifications.
Good knowledge of purchasing costs, payment terms, and pricing methods.
Ability to analyze quotations and evaluate suppliers based on quality and compliance criteria.
Proficiency in Microsoft Office and ERP systems (such as Odoo).
