Job brief:
The Logistics Specialist is responsible for the seamless and efficient operation of all logistics and supply chain processes. This role is critical to ensuring a seamless customer experience and driving profitability through an efficient, cost-effective supply chain. The specialist will manage the entire logistics lifecycle, from procurement of services to final delivery, encompassing warehousing, fleet management, and port operations. This position acts as the main liaison between the company and external logistics providers, ensuring strict adherence to timelines, budgets, and quality standards while continuously seeking opportunities for process optimization and strategic improvement
Key Responsibilities:
- Supplier Communication:
Continuously align with suppliers to get insight into the readiness date and ensure to get all supporting documents that include invoices, packing list and telex release when applicable. Conduct a thorough comparison between what is ready for shipment versus the PO to detect and report variances.
- Vendor Negotiation and Relationship Management:
- Lead negotiations with shipping lines, freight forwarders, and courier companies to secure favorable terms and achieve cost savings while maintaining high service quality. Develop and maintain strong, long-term partnerships with logistics providers, and conduct regular performance reviews to ensure compliance with Service Level Agreements (SLAs).
- Cost Control & Financial Administration:
Continuously analyze logistics costs to identify and implement cost-saving opportunities. Review and verify all shipping and logistics-related invoices for accuracy before submitting them to the finance department for timely payment.
- Process Improvement & Strategy:
Analyze logistics data to identify trends, generate performance reports, and provide insights for strategic decision-making. Proactively identify and implement process improvements to enhance efficiency, reduce costs, and improve service levels across the supply chain.
- Issue Resolution & Compliance:
- Act as the primary point of contact for resolving all logistical issues, including shipment delays, damages, cost discrepancies, and quality control problems. Ensure all logistics operations comply with local and international regulations and maintain meticulous records of all shipments and agreements.
- Invoice Review and Financial Coordination:
- Review shipping invoices for accuracy and completeness before forwarding them to the finance department. Ensure timely processing and updates of all invoices to avoid delays in payment or budget overruns.
- Process Improvement & Vendor Coordination:
- Monitor and enhance logistics processes to improve efficiency, particularly in shipping and delivery times. Coordinate with vendors and couriers to ensure smooth operations and drive service improvements where needed.
- Compliance and Documentation:
- Ensure all logistical operations comply with relevant regulations and internal policies. Maintain accurate records and documentation of all shipments, customs clearance, and carrier agreements.
