Government Relations & Administration Assistant

The Legal & Governmental Affairs Assistant is responsible for managing all government-related transactions, employee documentation, regulatory compliance, and administrative support to ensure uninterrupted operations in the company. The position also maintains strong relationships with government authorities and ensures timely renewal of licenses and legal documentation.
MAIN RESPONSABILITIES are set out, but not limited, to:
1. Government Relations & Licensing

Collect, prepare, and submit all required documentation to banks and government authorities.

Renew and follow up on all company licenses with relevant ministries and authorities.

Follow up on completion of transactions and procedures with relevant government entities.

Collect official correspondence addressed to the company from authorities.

Issue documents from government portals such as SABER, including certificates of origin and supply-chain related documentation.

Monitor expiration dates of all government documents and ensure timely renewal to avoid penalties.

Process authorizations and industrial exemptions through FASAH
2. Employee Government Services

Issue and renew employee work permits, residency permits (Iqama), and visas.

Monitor employee attendance and leave records in coordination with management and provide data for payroll processing.

Administer medical insurance enrollment for employees and dependents, including annual renewal negotiations.

Assist all employees, including temporary staff, with government-related requests.

Support compliance with Saudi labor regulations.

Facilitate smooth exit-entry processes for expatriate employees.

Renew and manage company accounts on government portals (example: GOSI).
3. Government Visits & Inspections
-
Accompany government officers during official visits to the facility.

Support inspections from Labor Office, Ministry of Energy, and Ministry of Environment and other related authorities.

Provide documentation and ensure compliance during audits and site visits.
4. Employee & Administrative Support
-
Assist expatriate employees with government procedures, particularly where Arabic language support is required.

Support training sessions by providing Arabic translation where needed.

Maintain positive employee relations and help prevent unnecessary escalation.

Assist management with administrative tasks and documentation.
-
Prepare and maintain files, records, and official documentation.
5. Compliance & Operational Support

Ensure company compliance with Saudization requirements.

Monitor classification under the Saudi traffic light system (Red, Yellow, Green).
QUALIFICATIONS
- Diploma or Bachelor Degree in BA, Law, or related fields.
- At least 3 years experience in Government relations within Saudi Arabia.
- Proficient in MS Office.
- Fluent in English and Arabic. Based in Saudi Arabia, Dammam
PERSONAL SKILLS
- Strong attention to details and organizational skills.
- Ability to manage multiple tasks and meet deadlines.
