Overall Role Purpose

Oversee the management and maintenance of company facilities and fleet operations. Ensure facilities and fleet are well-maintained and adequate to support business operations. Plan, coordinate, and manage installations, refurbishments, and equipment upkeep to meet DHL's global health and safety standards. Inspect buildings and fleet to identify repair or renovation needs and track facility updates

Your Tasks:


  • Track and update leased and owned infrastructure within the province.
  • Develop and maintain the infrastructure strategy.
  • Identify upcoming development needs and manage detailed facility project and fleet requirements.
  • Prepare and submit Business Case Applications (BCAs) for lease renewals and new facilities, ensuring timely completion and approval.
  • Provide financial reporting to head office.
  • Manage & prepare utilities reports and coordinating with finance team to ensure the utilities payment onetime
  • Manage facility improvement and maintenance projects.
  • Identify and plan for replacement or additional facilities (hubs, gateways, service centers, etc.).
  • Provide engineering input for facility-related BCAs, including route analysis, operational improvements, and cost estimation. Develop guidelines for real estate agents and local personnel involved in facility selection and management.
  • Manage internal processes for lease negotiations, fit-out design, tendering, contractor supervision, and equipment procurement within approved BCA constraints.
  • Ensure compliance with legal requirements and obtain necessary local authority approvals.
  • Manage project administration and maintain contractual obligations.
  • Report on project progress and key milestones to relevant stakeholders.
  • Develop and implement long-term and short-term maintenance plans.
  • Allocate workload and supervise maintenance staff.
  • Analyze data to improve operational efficiency.
  • Maintain detailed records of vehicle servicing and inspections.
  • Develop strategies to improve fuel efficiency.
  • Approve daily facility expenditure.
  • Ensure compliance with DHL and local regulations for service points.
  • Conduct regular equipment testing (e.g., fire fighting).
  • Maintain maintenance logs and report on daily activities.
  • Identify and secure new facilities, managing lease and maintenance contracts.
  • Collaborate with Service Centre Managers to develop and implement vehicle and facility maintenance schedules.
  • Investigate and report on accidents, providing documentation and recommendations for prevention.
  • Manage relationships with suppliers to ensure quality service in vehicle provision and maintenance.
  • Investigate and recommend alternative suppliers.
  • Oversee fleet and maintenance audits and develop improvement plans.
  • Manage vehicle repairs and replacements, including logo installation.
  • Analyze accident and emergency incident reports and recommend preventive measures.
  • Track and report on fuel costs and consumption.
  • Manage the distribution of fines and deductions.
  • Review invoices and negotiate with suppliers for cost reduction.
  • Maintain security policy compliance.
