Purpose of Position
- To provide high-level executive and administrative support by managing schedules, coordinating meetings, handling confidential documentation and ensuring the efficient execution of daily executive activities and business priorities.
- The position performs in line with the Bureau Veritas Quality Assurance System, including the BV Code of Ethics and the BV Group policy.
Major Responsibilities
- Provide comprehensive administrative and executive support to the Vice President.
- Manage the VP’s calendar, appointments, meetings, and travel arrangements.
- Coordinate internal and external meetings, including preparing agendas, presentations, meeting materials, and taking meeting minutes when required.
- Screen and prioritize emails, phone calls, and correspondence on behalf of the VP.
- Prepare reports, presentations, letters, and official documents.
- Ensure documents requiring the VP’s review or signature are prepared, tracked, and submitted on time.
- Coordinate follow-up actions from meetings and ensure timely completion of assigned tasks.
- Arrange business travel, accommodation, transportation, and expense documentation.
- Maintain confidential records, files, and sensitive information with the highest level of discretion.
- Liaise with internal departments and external stakeholders on behalf of the VP.
- Organize executive visits, events, and business meetings.
- Monitor deadlines and remind the VP of important commitments and deliverables.
- Support special projects and perform other administrative duties as assigned.
Qualification and Experience
- Bachelor’s/Diploma Degree in Business Administration or equivalent. 3–5 years of experience as an Executive Assistant or Personal Assistant supporting senior management or executives..
