Key Responsibilities
Administrative Support
- Provide day-to-day administrative assistance to operations and management teams.
- Prepare, edit, format, and organize business documents, reports, presentations, and correspondence.
- Maintain organized digital filing systems and ensure documentation remains accurate and up to date.
- Assist with data entry, document verification, and record maintenance.
- Manage confidential information with professionalism and discretion.
- Support daily operational activities across departments.
- Monitor operational workflows and assist in tracking task completion.
- Coordinate internal meetings and prepare agendas, meeting notes, and follow-up action items.
- Help maintain operational calendars and scheduling.
- Assist in organizing virtual meetings, workshops, and internal events.
- Serve as a point of contact for internal administrative requests.
- Coordinate communication between departments to ensure timely information sharing.
- Assist with onboarding documentation for new employees.
- Support procurement and administrative processes when required.
- Help maintain internal databases and operational systems.
- Enter, update, and verify information in company databases.
- Generate basic reports and summaries using spreadsheets and reporting tools.
- Monitor data accuracy and identify inconsistencies.
- Support document control procedures and version management.
- Recommend improvements to administrative workflows.
- Assist in developing standard operating procedures (SOPs).
- Identify opportunities to improve efficiency through automation and digital tools.
- Support special operational projects assigned by management.
Required
- Bachelor's degree or diploma in Business Administration, Management, Office Administration, Operations Management, or a related field.
- Recent graduate or up to two years of relevant administrative or office support experience.
- Excellent written and verbal communication skills in English.
- Strong organizational and time-management abilities.
- High level of attention to detail and accuracy.
- Ability to work independently in a remote environment.
- Professional attitude with a strong customer-service mindset.
- Strong problem-solving and critical-thinking skills.
- Ability to prioritize multiple tasks and meet deadlines.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with Google Workspace (Docs, Sheets, Drive, Meet).
- Comfortable using virtual collaboration platforms such as Microsoft Teams, Zoom, Slack, or similar tools.
- Basic knowledge of spreadsheets and data management.
- Ability to learn new software and business systems quickly.
- Internship or volunteer experience in administration, operations, customer service, or office support.
- Experience using project management tools such as Trello, Asana, ClickUp, or Monday.com.
- Familiarity with document management systems and cloud-based collaboration platforms.
- Knowledge of administrative best practices in a remote work environment.
