Job Description





SUMMARY


Accurately input inbound tour reservations with and without provided transportation. Solicit prospective customers by translations and inbound programs.


 


ESSENTIAL DUTIES AND RESPONSIBILITIES


Currently include the following, although other duties may be assigned or removed as needed.



  • In-put all inbound reservations with and without transportation.

  • Professionally answer and distribute all inbound phone calls.

  • Keep all qualifications updated and remind and assist OPCs in the event of changes.

  • Translate Portuguese or Spanish-speaking prospective customers to assist OPCs with tour bookings.

  • Call locations informing OPC's of any flow or qualification changes.

  • Answer and solicit prospective customers coming from inbound phone programs.

  • Be able to accurately give directions to all Resorts.

  • Accurately check-in and out outside solicitors at specified locations.

  • Monitor flows, coverage, and production throughout each shift and provide the MOD (Manager on Duty) with necessary pertinent information as needed

  • Conduct Location Verifications for every shift whereby staffing of each location is verified, and in the event of "open" locations, Field Managers are notified, and records are kept for accurate assessing of penalties to the Marketing Reps accordingly.

  • Packaging of brochures for the Department's Fun Packs distributed at our various hotel Guest Services locations as needed

  • Verifying "no show" tours on a daily basis and then contacting guests in an effort to get their tours rebooked so as to maximize bookings for the resorts

  • Book room nights for Westgate Resorts properties, currently and specifically Westgate Lakes, Westgate Towers, Westgate Villas, Westgate Park City, and Blue Tree resorts as needed

  • Any other light clerical duties as needed

EDUCATION and/or EXPERIENCE


High School diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.


 


LANGUAGE SKILLS


Ability to read, and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.


 


MATHEMATICAL SKILLS


Ability to add subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.


 


REASONING ABILITY


Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.

PHYSICAL DEMANDS


The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. These demands include those typical for a desk job/office-related work, specifically, with a vast amount of time spent sitting at the desk utilizing the hands in typing, writing, and generating reports and other documents; a significant amount of time spent talking with and listening to employees and other managers. Some time is spent walking in the retrieval of checks and the delivery of requests and other documents, etc. Further, some time is spent stooping, kneeling, or crouching in the filing of documents and the retrieval of filed documents. No climbing, balancing, tasting, or smelling is involved in any necessary job task related to this position. This job does not require that weight be lifted or force be exerted, although from time to time, boxes of invitations, paper, and/or supplies weighing approximately 60 pounds must be moved from one area to another, and in an effort to expedite processing or complete a job task, these items are moved appropriately. Close vision is required in interpreting and completing the highly detailed reports. WORK ENVIRONMENT


The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. The majority of the time is spent working in a typical office environment consisting of employee-controlled temperature levels, with moderate standard office noise ranging from conversation to office machinery noise (typewriters, printers, copiers, fax machines, staplers, etc.). There is very little exposure to outdoor weather conditions except during travel outside the building to various meetings and other functions. As such, there is typical exposure to office fumes and/or airborne particles through ventilation systems. There is some exposure to moving mechanical parts such as computer keyboards, printers, copiers, and fax machines, etc., and any risk of radiation or electrical shock would come from this equipment as well. There is little to no exposure to high, precarious places, toxic or caustic chemicals, extreme cold or heat, and wet or humid conditions. There is absolutely no exposure to work with explosives.
