The Referral/Admissions Administrative Assistant is a multi-faceted position providing high-level administrative support. This position serves as an administrative resource for Access Center meetings and activities including coordination of schedules, data entry and palliative tracking. It also supports communication with internal and external customers.


ESSENTIAL DUTIES AND RESPONSIBILITIES



  • Provide administrative support to VP of Access and Referral Center Manager as well as general support to team members and managers.

  • Assist maintenance of department SOPs and provide support to new hires

  • Aid with correspondence, copying, faxing, and scanning

  • Act as a liaison between other departments (e.g. internal, external, and the billing department). Perform data entry of clinical activity into the EMR in a timely fashion in support of the organization's billing activities.

  • Communicate with Admissions staff regarding PPE needs and order and distribute accordingly.

  • Perform palliative referral admission entry and scanning and provide support to provider services.

  • Collaborate with the Facilities Coordinator, as well as the Marketing and Volunteer departments to prepare and update the Patient Admission Packets

  • Type, file, and photocopy as needed to support the department, team, and site activities.

  • Communicate all pertinent patient status information to appropriate community physicians and preferred providers.

  • Maintain and assist scheduling of Outlook calendar for Referral Center staff to assure services, staff and schedules are accurate and current. Keep manager informed about Referral Center coverage and staffing issues by working closely with the Clinical Scheduler.

  • Participate in QI activities that support customer service and process improvement goals.

  • Maintain and order Referral Department supplies.

  • Consistently apply HopeHealth values in all aspects of work, complying with established HopeHealth mission, policies, procedures, and objectives in quality assurance, safety, infection control, and HIPAA compliance.

  • Assist with other duties as requested


Education / Experience


High school diploma plus additional specialized training. Associate's degree or graduate of a secretarial school program preferred. Two years related experience and/or training; or equivalent combination of education and experience.
