The Position

Beltrami County is creating an eligibility list for an Extension Assistant. The current position is part-time (29 hours/week), non-benefited. The office is located in the Beltrami County Extension Office at the Fairgrounds. Responsibilities include extensive public contact and customer service, office administration and clerical support for Extension Programs including 4-H, nutrition and gardening/horticulture.

Minimum Qualifications

Education and Experience

Minimum Qualifications are:

  • One year of post-secondary training in clerical, bookkeeping, administrative assistant, behavioral sciences or closely related and

  • One year of related experience.

Job offer contingent upon successfully passing a drug screen and background check.

Essential Functions & Requirements

Essential Functions

Provides general administrative and clerical support for Extension Office Programs; accesses and distributes information from the University of Minnesota Extension for resource and referral; prepares and codes invoices; submits for approval; tracks departmental budget status reports; communicates with Extension Program volunteers and participants.

Provides clerical and technical support to the 4-H Program; develops brochures, flyers and program materials; orders supplies; updates website with programming information; registers County Fair participants; prepares County Fair exhibit information; enters 4-H award placement to tracking system; prints premium checks for distribution; prepares and provides requested reports regarding programs and participation.

Performs a wide variety of clerical office administrative duties, including create, modify, edit and formatting of electronic documents, brochures, program flyers, posters and correspondence; word processing/typing letters and documents, prepares and provides requested reports regarding programs and participation; directing calls, waiting on customers, providing resource and referral; manage and update content on the County Extension webpage; create, manage and maintain participant database, electronic and paper files; operate and maintain general office equipment.

Provides clerical support for Extension Programs and Classes, including SNAP Ed, and Volunteer Master Gardener programs; communicates with program heads regarding processing information for classes, attendees, and schedules; produces program materials; enters participant data to specialized systems or spreadsheets; prepares meeting notices, newsletters and program booklets.

Services as initial point of contact for program participants, instructors, citizens and elected and appointed officials.

Knowledge, Skills and Abilities

Thorough knowledge of departmental programs and policies and terminology; general knowledge of standard office practices, procedures, equipment and office assistance techniques; general knowledge of business English, spelling and arithmetic; ability to communicate ideas effectively in both oral and written forms; ability to gather and give basic information and instructions on departmental programs; ability to read and understand moderately detailed policies, procedures and job related materials; ability to make arithmetical calculations; ability to operate a variety of office and computer equipment and produce documents and correspondence; ability to follow oral and written directions; ability to establish and maintain effective working relationships with associates and the general public.

Physical Requirements

This work requires the occasional exertion of up to 10 pounds of force; work regularly requires sitting, speaking or hearing and using hands to finger, handle or feel, frequently requires repetitive motions and occasionally requires walking; work has standard vision requirements; vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels; work requires preparing and analyzing written or computer data; work has no exposure to environmental conditions; work is generally in a moderately noisy location (e.g. business office, light traffic).
